Job Title : Accounting Assistant

A municipality is seeking a detail-oriented and adaptable Accounting Assistant to join the Finance Department. This role will provide broad accounting support across multiple functions, including payroll, accounts payable, accounts receivable, and vendor management.

Key Responsibilities :
Payroll Support
- Assist with data entry and auditing of employee timesheets and leave balances.
- Support payroll processing cycles, including reviewing entries for accuracy and assisting with reporting.
- Respond to employee payroll inquiries in a timely and professional manner.
Accounts Payable
Process invoices for payment, ensuring compliance with internal controls and city policies.Review and verify accuracy of charges, coding, and supporting documentation.Maintain communication with vendors regarding payment status and discrepancies.Accounts Receivable
Prepare and issue customer invoices.Reconcile incoming payments and follow up on outstanding balances.Maintain accurate and up-to-date AR records.Vendor Creation & Maintenance
Set up and maintain vendor accounts in financial systems.Verify required documentation for compliance (e.g., W-9s).Collaborate with purchasing and other departments to ensure accurate vendor data.General Accounting Support
Perform account reconciliations and assist with month-end and year-end closing processes.Maintain organized records and assist with audits as needed.Assist in researching discrepancies and resolving financial issues.Qualifications :
Education & Experience :
High school diploma or equivalent is required.Completion of coursework in accounting, finance, or business is preferred.Minimum of two (2) years of experience in accounting or bookkeeping, preferably within a public agency or similarly structured environment.Knowledge of :
Basic accounting principles and financial recordkeeping practices.Procedures related to payroll, accounts payable, and accounts receivable.General office practices and proficiency in Microsoft Excel and financial software (e.g., Tyler Munis, PeopleSoft, or similar).Skills and Abilities :
Excellent attention to detail and accuracy in data entry and review.Ability to prioritize and shift between tasks in a fast-paced environment.Strong organizational skills and the ability to meet deadlines.Clear communication skills and the ability to interact effectively with staff, vendors, and the public.Ability to maintain confidentiality and demonstrate discretion in handling sensitive financial data.
