Job description

Job Summary :

We are seeking a highly organized and proactive Sales Support & Customer Service Coordinator to join our team. This role serves as a critical link between our sales team, shipping / logistics, and customers. The ideal candidate will manage daily administrative and operational tasks, ensuring smooth communication, accurate order processing, and efficient issue resolution.

Key Responsibilities :

  • Route incoming phone calls to appropriate departments or personnel.
  • Prepare, update, and distribute reports to National Sales Managers and Account Representatives.
  • Track freight deliveries from multiple carriers and report delivery status.
  • Log customer issues and provide appropriate documentation to support resolution.
  • Enter and process customer orders received via phone.
  • Edit and process free replacement part orders accurately.
  • Fulfill MSDS (Material Safety Data Sheet) requests from customers.
  • Pull, review, and adjust EDI (Electronic Data Interchange) orders daily.
  • Verify billing accuracy by cross-checking shipped versus ordered quantities.
  • Manage Home Depot routing through Transplace and coordinate with the shipping department.
  • Process and manage customer-specific EDI transactions (e.g., ASN and 810 invoices).
  • Settle credit card transactions and ensure payment processing accuracy.
  • Assist with planning and preparation for sales meetings, presentations, and trade shows.
  • Attend trade shows when required.
  • Reach out to customer accounts to resolve issues or promote product sales.
  • Prepare and mail invoices to customers.
  • Communicate with FGI customers via phone and email for support and inquiries.
  • Review sales and logistics documents and input relevant data into the ERP system (EPICOR).

Qualifications :

  • High school diploma or equivalent required; associates or bachelors degree preferred.
  • 2+ years in customer service, sales support, or administrative roles.
  • Experience with EDI, order processing, and ERP systems (EPICOR preferred).
  • Strong attention to detail and excellent organizational skills.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Preferred Skills :

  • Experience in logistics or supply chain coordination.
  • Familiarity with MSDS handling and documentation.
  • Trade show or event planning experience.
