Description

Applications are being accepted by the in the Department of for a full-time Coordinator to perform complex, diversified, and specialized technical duties and multi-faceted technical and administrative support for the Division's specialized teams, programs, and / or projects. Responsibilities include performing a wide variety of day-to-day support functions for the Division, which administers and enforces City Codes regarding property maintenance, public nuisances, rental housing, landlord-tenant relations, vendors, and home-based businesses. The team also pursues an active outreach program to work with homeowners associations, rental communities, and residents to enhance the appearance and safety of the City.

The ideal candidate will possess strong organizational, customer service, time and resource management, and multitasking skills; have excellent attention to detail; and exceptional interpersonal and communication (verbal and written) skills to interact with staff at all levels, City officials, residents, business and property owners, contractors, vendors, and other stakeholders. The ability to accomplish tasks under pressure and before deadlines on a consistent basis and proficiency in leveraging technology to enhance efficiency are essential. Must be able to anticipate and address issues and exercise appropriate judgment when executing tasks and proactively provide assistance and support whenever and wherever needed. Must be customer focused, flexible, and resourceful to adapt to changing priorities and deadlines, and able to handle last-minute changes with composure and confidence. Fluency in English and Spanish is preferred.

40 hours per week, Monday through Friday; core work schedule will be determined upon hire. Occasional evening, weekend, and / or holiday work. The position may be eligible for telework following successful completion of the 12-month probationary period. Telework arrangements will be reviewed and approved at the discretion of the Department Director or designee, based on position duties and operational needs.

Starting salary for this position is negotiable within the target hiring range ($58,000 - $66,000) and will be offered at a level consistent with the experience and qualifications of the candidate. Job Functions

What you will do with us :

  • Perform a wide variety of technical and administrative support functions requiring considerable knowledge of department / division policies, procedures, and guidelines; assist or back-up other administrative staff in the Department when needed.
  • Coordinate, determine best route for, schedule, and document all rental housing inspections including initial inspection, requests for rescheduling, extensions, and failed inspections; enter and track data through a specialized software program.
  • Process, track, and maintain all Division-issued municipal citations and related documentation; maintain database; prepare case files for City Attorney; draft appropriate correspondence.
  • Coordinate meetings, compile complete case files, collect agenda materials, prepare and assemble agendas for meetings, and maintain official documentation for the Commission on Landlord-Tenant Affairs; enter data in specialized civic engagement software program; attend meetings; record and prepare meeting minutes.
  • Respond to inquiries, complaints, and requests and give information and assistance to the public, in person, by telephone, and by email.
  • Maintain specialized databases, record systems, and filing systems including but not limited to homeowners associations, condominium associations, civic associations, and shopping centers.
  • Compile and prepare notifications for scheduled rental inspections.
  • Maintain roster of terms of appointed members of the Commission on Landlord-Tenant Affairs; prepare correspondence to members as needed.
  • Review incoming correspondence and prepare appropriate responses.
  • Compose, type, prepare, photocopy, scan, and maintain a variety of correspondence and other documents according to established procedures and processes.
  • Develop forms and procedures to help assure efficient and effective workflow throughout the division or department.
  • Maintain Division office supply inventory; prepare and process purchase orders, invoices, and check requests.
  • Draft, prepare, maintain, and process official City documents; prepare and enter agenda or document information for public meetings.
  • Take notes and transcribe or prepare statements, letters, minutes, reports, and other materials, when required.
  • Assist with scheduling and preparation for Council in the Communities meetings and other special events or activities.
  • Conduct research on special projects; compile and analyze data collected, and write, type, and prepare reports.
  • Maintain highest level of confidentiality in all matters; exercise discretion and judgment in sensitive matters, keeping the Division Manager or designee apprised at all times.
  • Assist in planning / organizing office automation needs.
  • Compile and prepare financial, statistical, or other complex or specialized data pertinent to the division.
  • May assist with preparation of the division's annual budget.
  • May provide assistance with division billing, payments, credit cards and / or other financial support as assigned.
  • Provide outstanding service, pursue continuous improvement, and exceed expectations.

Qualifications

What you will need to be considered :

  • High School Diploma or equivalent; relevant Associate's Degree or college level course work preferred.
  • At least 5 years of professional experience providing office assistance / administrative support.
  • Strong technology skills required, including proficiency with standard office software and equipment and familiarity with data management.
  • Fluency in English and Spanish preferred.
  • Strong and effective interpersonal, analytical, organizational, customer service, time / resource management, and write and verbal communication skills.
  • Detail oriented and accurate, with demonstrated ability to manage multiple tasks, prioritize workload, and work quickly and accurately under firm deadlines with limited supervision.
  • Be resourceful, diplomatic, and professional and willing and eager to assume new challenges and increased responsibility.
  • Ability to maintain the confidentiality of sensitive information.
  • Or any acceptable equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities to satisfactorily perform job duties.

    This is a full-time, non-exempt position, which means an individual in this position is eligible for overtime compensation under the provisions of the Fair Labor Standards Act (FLSA) and the City's personnel regulations. Direct deposit of paychecks is a condition of employment for all City of Gaithersburg employees.

    The successful candidate will be subject to a pre-employment background investigation.
