We have an immediate opening for an Office Services Assistant in our New York City office.
Job Description
The Office Services Assistant performs a wide variety of clerical and administrative tasks. Responsibilities include :
Distribute incoming and interoffice mail
Process express and overnight courier packages
Order and set up food for office meetings / events
Organize office events
Help with onboarding and offboarding employees
Complete complex print and copy jobs and deliver finished project according to schedule
Planning and booking domestic and international travel; preparing detailed itineraries
Preparing, reconciling, and tracking expenses
Organize / bind case documents and prepare materials for internal and client meetings
Ability to work with HelpDesk remotely to identify and correct issues, and able to follow directions on how to correct known issues
Troubleshoot technical issues with Zoom rooms, copiers, printers and update loaner laptops
Set up office / cubicle space with monitors, keyboards, phones, and mice
Troubleshoot minor tech issues (resetting printers, providing new equipment, swapping out cables, etc.)
Stock, organize and clean supply rooms and pantries
Prepare offices and workstations for new hires
Assist with general appearance of office, daily walkthrough, compile checklist for maintenance issues, and place maintenance requests with vendors and building management
Support meetings (internal and external venues) including room booking, vendor / AV set up, material preparation, security registration, and meals
Provide backup support to admin team
Other administrative responsibilities as requested
Requirements
High school diploma or equivalent
Prior office services experience preferred
Self-starter with a high-energy, team-player mentality who enjoys a challenging and professional work environment
Attention to detail and good organizational and problem-solving skills
Professional appearance and demeanor
Ability to deal well with changing assignments and priorities
The applicable base salary for this role is $53,000-$58,000 per year, overtime eligible. The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
