Job description

Executive Administrative Assistant

We are seeking an Executive Administrative Assistant to support 2 Vice Presidents in our Southern Europe Region and Partnerships team. This role requires proactively anticipating the needs of the VPs, taking the initiative to solve problems independently while displaying appropriate judgment. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is a must.

Essential Responsibilities :

  • Manages calendar of the executive and daily work with some instruction from others.
  • Performs general administrative duties such as travel, expenses, department distribution list, purchase orders, ordering supplies in accordance with standard procedures & practices.
  • Engage and collaborate with the immediate team & internal partners.
  • May act as a delegate for the executive when reviewing and approving expense reports
  • Proactively identifies opportunities to increase efficiency and improve processes, anticipating the needs of the executive & team
  • Collaborate regularly with peers and internal partners while developing and maintaining strong relationships.

Expected Qualifications :

  • Minimum of 3 years of relevant work experience
  • Responsibilities :

  • Provide high-touch executive administrative support to the assigned leader as well as ad hoc support to local leaders and work with their teams to support overall business objectives.
  • Help to design and administer an operating rhythm for each team
  • Coordinate and manage internal and external meetings at the executive (C-suite) level, including Global Market leadership team onsite meetings and events managing the budget, key stakeholders and any special requirements. This role includes interaction with CEO staff Executive Assistants and C-suite executives.
  • Follow up on action items on behalf of the leaders as appropriate
  • Provide effective and expeditious calendar management and meeting coordination including agendas, notes and follow-up as needed
  • Manage room bookings and video conference facilities on site
  • Make travel arrangements expeditiously and accurately for both domestic and international travel
  • Prepare and track purchase orders and expense reports
  • Partner with EAs per group in order to learn, share best practices and foster cross-functional collaboration at all times

  • Organize events for the Milan / Paris / EU Partnership teams based team to create engagement
  • Organise merchant events for the Paris / Milan and EU Partnership teams
  • Experience :

  • 8+ years relevant work experience supporting at the SVP or above levels in a complex and dynamic environment.
  • Prior experience in handling a wide range of administrative-related tasks, organizing large meetings across time zones and arranging travel.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
  • Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
  • Highly organized with an ability to demonstrate meticulous attention to details, adaptability, flexibility, resourcefulness and efficiency.
  • Self-starter and self-directed : understands the needs of the executives and proactively helps and addresses gaps and opportunities.
  • High level of integrity required for handling sensitive and confidential information.
  • A "can-do" attitude that focuses on getting the job done
  • Team player and comfortable working within executive assistant team dynamic, as well as working with other stakeholders and partners.
  • Flexibility to accommodate leaders global travel schedule.
  • Advanced skills using MS Office applications; Outlook, Word, Excel, and PowerPoint and Teams
  • Excellent communication skills (both written and oral).
  • Comfortable taking direction from members of the senior leadership's support team.
  • Fluent in English and either one or more of French / Italian a plus
