Pay Range: $17.10/hr (W2)
Shift: Monday through Friday, 8:00 AM to 5:00 PM
Job Description
We are seeking a Customer Service Representative to join our team. The ideal candidate will have strong experience in customer service within professional or legal office settings and a proven ability to manage high-volume inquiries with accuracy, professionalism, and timely follow-through. This role requires onsite work Monday through Friday from 8:00 AM to 5:00 PM.
Responsibilities:
- Answer main phone lines, screen incoming calls, greet callers and walk-ins, and route calls accurately and timely.
- Register parties for hearings, including names, phone numbers, and call times.
- Escalate higher-level case inquiries and requests to Docket Officer paralegals, Supervisors, or Administrative Law Judges.
- Communicate verbally and in writing with attorneys, legal support staff, the public, and state agency personnel regarding case and hearing status.
- Respond to internal and external inquiries about appeals status and process related requests.
- Research multiple databases to answer questions about case status.
- Perform data entry in the case management system to document information and conversations.
- Complete secretarial tasks, including processing mail and faxes, word processing decisions, and making copies of electronic records and digital recordings.
Required Skills & Qualifications:
- Proficiency with Microsoft Office programs.
- Accuracy in typing and data entry; ability to perform repetitive, detailed work with a high level of accuracy.
- Customer service techniques and experience using computers and office equipment (PC, scanner, fax).
- Professional verbal and written communication; strong interpersonal communication and effective decision-making.
- Understanding of confidentiality, ethical guidelines, and professional conduct.
- Ability to research data using a case tracking or case management system and work across multiple programs simultaneously.
- Ability to handle diverse and upset customers with tact and diplomacy and sit uninterrupted for prolonged periods.
- 2+ years in a customer service role.
- High School Diploma or GED.
Preferred Skills:
- Basic secretarial, legal support, or professional office experience.
- Customer service experience by phone and in person.
