Performs advancedadministrative duties for the department director and department staff.
Ø Coordinatesoffice management activities
Ø Acts asliaison between the directors, subordinates and others by transmittingdirectives, instructions and assignments
Ø Independentlyfollows up on status of assignments
Ø Reads andscreens incoming correspondence and reports; makes preliminary assessment ofthe materials, organizes documents and forwards appropriate materials asnecessary.
Ø Providedetailed information regarding department's policies and procedures and onvarious programs including purchasing card policy
Ø Independentlyresponds to letters and general correspondence of a routine and non-routinenature
Ø Reviewsdocuments to determine appropriate forms are used and completely filled.
Ø Maintainsappointment schedule / calendars, arranges meetings / conferences and makes travelarrangements
Ø Preparescomprehensive reports and compiles annual budget requests
Ø Reviewsexpenditures requests to ascertain availability of funds
Ø Initiates andmaintains a variety of files and records
Ø Conductsadvanced research, compiles and analyzes data for special projects and variousreports
Ø Processes and trackspurchase orders requests
Ø Performs otherduties as assigned
MinimumQualifications : Three (3)years of clerical experience; Advanced proficiency in the use of computersoftware applications : MSWord; Excel; Access; and PowerPoint.
PREFERENCE : Bilingual inEnglish / Spanish; Associate degree from an accredited college. AcceptableEquivalency : Any combination of experience and training that would likelyprovide the required knowledge; skills and abilities
