Project Coordinator and Contracts Administrator
Location : Challis, Idaho (primary project site) with nationwide travel
Work Arrangement : Project based, on site rotation with paid travel
Be the organizing force behind a high impact capital construction program. In this owner's team role, you will keep contracts, documentation, and field execution aligned so crews can build safely, on schedule, and to spec. You will be embedded with project leadership and field disciplines, turning daily inputs into clean records, clear decisions, and predictable progress.
What you will do
- Orchestrate contract workflows from award through closeout, including submittals tracking, pay applications reviews, and compliance confirmations.
- Maintain a living set of drawings, specifications, and logs so field teams are always working from the current record.
- Capture decisions and action items from daily coordination, progress walkdowns, and schedule syncs, then drive follow through.
- Prepare and route RFIs, field clarifications, and change notices, keeping cost and schedule impacts visible.
- Monitor status of NCRs, punch items, and turnover documentation with QA and discipline leads.
- Consolidate contractor dailies, percent complete, quantities, and productivity into concise weekly progress updates for leadership and the client.
- Serve as the information hub between the Owner, EPCM partners, and contractors, ensuring clean handoffs and timely communications.
- Support systemization and handover by aligning field documentation to commissioning and operations needs.
- Uphold site safety and compliance expectations, escalating risks and ensuring documentation is complete and accurate.
What you bring
5 plus years in construction coordination, contracts administration, or project engineering on heavy industrial or mining programs.Degree or diploma in construction management, engineering, or related discipline, or equivalent experience.Fluency in Microsoft Office and SharePoint, plus working knowledge of Bluebeam, P6, and a common data environment such as Aconex.Strong note taking and communication skills, able to turn field inputs into clear, auditable records.Proven ability to prioritize and deliver in a fast paced, multidiscipline environment.Understanding of field execution workflows from RFIs and submittals through punch, turnover, and closeout.Familiarity with MSHA and OSHA environments is an advantage.Why this role
