Job Title : Program Assistant
Performs a wide variety of administrative and support services within the Office of Student Affairs and Alumni Engagement. This position will provide key support for the Assistant / Associate Dean for Student Affairs, the Director of Student Affairs for the Sewell Campus, and the Assistant Dean for Student Programs and Alumni Engagement. This includes administrative support for the Student Affairs Committee, professionalism meetings, disciplinary hearings, student status changes, management of the SOM Connections Network, oversight of non-academic student requirements, processing confidential documents and assisting with events and activities.
Essential duties and responsibilities include the following :
- Provide administrative oversight for professionalism reports, including data analysis, tracking, and reporting, as well as coordinating student meetings for professionalism with the Deans and / or Directors.
- Serve as administrative support for all Student Affairs Committee meetings, including coordinating, scheduling, agendas, and meeting minutes.
- Maintain records of meeting minutes.
- Provide administrative support for student Leaves of Absence, including preparing and sending letters, tracking anticipated return dates, and sending reminders for requirements while on leave.
- Provide support for the Disciplinary Hearing Board, including scheduling, hearing preparation (agendas, coordinating witness statements, and preparing documentation), preparing the Hearing Board memo to the Dean, and related communications.
- Track students in disciplinary matters to ensure compliance with all Disciplinary Hearing board mandates.
- Prepare and send all letters for student actions, including Leave of Absence, Disciplinary Hearings, Private Letters of Admonishment, and Public Letters of Reprimand.
- Maintain a database of all disciplinary proceedings and student leaves.
- Review and track completion of all mandatory student requirements assigned by the Office of Student Affairs.
- Coordinate the yearly process for collecting student attestations for the Student Handbook and Code of Conduct, including managing the Qualtrics, auditing submissions for completion, and following up with non-compliant students.
- Provide administrative support for the research, development, and review of Student Affairs policies.
- Assist with preparation of scholarship applications and recommendations for awards, including reviewing applicants, preparing materials for award candidates and assisting with award submissions.
- Manage the SOM Connections Network, including maintaining the database of physician advisors, matching students and conducting annual recruitment and outreach.
- Provide support for Student Affairs initiatives, including signature programs and events, wellness events and student outreach.
- Maintains essential records for all Student Affairs matters.
- Maintain calendar for the Assistant / Associate Dean for Student Affairs.
- Performs other duties as assigned.
Qualifications :
Associates degree is required plus five (5) years of experience working with students, preferably in a university-setting. Additional related experience may be substituted for the degree on a year-for-year basis.Experience with Google, MS software and survey programs.Positive, effective and empathetic communication to student inquiries.Excellent organizational skills and ability to manage programs and conduct policy reviews.Proficient writer and communicator with ability to interact and work effectively with students, faculty, staff, and alumni.Able to work some evenings and weekends as needed.Salary Information :
In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this HPAE position is $52,830.76 to $58,641.09, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
