The Role

We’re looking for a part-time (0.60 FTE / 24 hours per week) Executive Assistant and Campaign Coordinator to support OSA’s Executive Director and Advancement team during our capital campaign. This role combines administrative excellence with relationship management, helping drive the success of initiatives that directly impact students and families. What You’ll Do

  • Provide comprehensive support to the Executive Director, ensuring strong communication and responsiveness.
  • Manage the Executive Director’s calendar, including prioritizing inquiries, troubleshooting conflicts, and ensuring smooth daily engagements.
  • Support internal and external campaign communications on behalf of the Executive Director.
  • Draft and send acknowledgment letters for verbal pledges, written pledges, and pledge payments.
  • Manage and track pledge payment schedules, send pledge reminders, and report weekly on cash income.
  • Maintain and update campaign donor lists for recognition signage in the renovated building.
  • Coordinate and provide administrative support for all campaign-related events, meetings, and retreats.
  • Prepare and edit correspondence, presentations, reports, and proposals.
  • Oversee campaign materials, including pledge forms, informational folders, and OSA merchandise.
  • Develop and manage RSVP systems and invitation lists for campaign-related gatherings.
  • Assist with special projects and other administrative tasks as assigned.
  • Perform other duties as assigned by the Executive Director.

What We’re Looking For

  • Experience : Bachelor’s degree with 2+ years of relevant experience, or Associate’s degree with 4+ years of relevant experience. Nonprofit or fundraising experience is a plus, but not required.
  • Skills : Strong communicator (written and verbal), detail-oriented, highly organized, and resourceful in solving problems.
  • Tools : Comfortable with Microsoft Office, Google Suite, and social media. Familiarity with donor databases or CRMs is a plus.
  • Qualities : Trustworthy with confidential information, flexible with shifting priorities, and able to balance multiple projects at once.
  • Compensation & Benefits

    The hourly rate is $34 to $40.63, depending on experience. Benefits for eligible employees include medical, dental, and vision coverage, commuter benefits, employee assistance program, and retirement plans with robust matching. This is a 12-month (July 2025 through June 2026), part-time, non-exempt role.
