Events Operations Specialist
The Events Team at Articulate is seeking a detail-oriented and highly organized Events Operations Specialist to provide hands-on support in planning and executing Articulate's global events and trade shows. This role focuses on the hands-on logistics, vendor coordination, and operational support that make our events run smoothly.
The ideal candidate has a track record coordinating events in a fast-paced environment. They are organized, collaborative, and proactive about problem-solving. This role helps the Events team deliver high-quality experiences that connect customers with Articulate and build brand awareness.
What You'll Do :
- Support the Sr. Events Manager in end-to-end planning and execution of Articulate events, conferences, customer events, and tradeshows.
- Manage logistics and timelines for assigned event deliverables including but not limited to catering, AV, rooming lists, staffing schedules, shipping, and onsite materials.
- Coordinate travel, lodging, catering and on-site logistics.
- Handle shipping and inventory of event materials.
- Coordinate with external vendors and internal teams to track deliverables and meet deadlines.
- Assist in the development and production of event collateral, promotional items, signage, and booth graphics.
- Manage event registration and attendee communications, including monitoring RSVPs, preparing name badges, and troubleshooting attendee needs.
- Support on-site execution, including vendor check-ins, set-up and teardown, staffing, registration desk, and attendee experience.
- Track and reconcile event expenses; process invoices and support budget reconciliation, and reporting.
- Collect, organize, and maintain event data, including attendee lists, shipping manifests, and vendor contracts.
- Assist in post-event wrap-up, including surveys, lead follow-up, and compiling lessons learned.
- Provide administrative and operational support to the overall Events team including the Director of Events, including scheduling meetings, maintaining event project trackers, and supporting post-event reporting.
What You Should Have :
3+ years of experience in event coordination, logistics, or marketing operations.Strong organizational skills and attention to detail.Excellent communication skills (written and verbal) with a customer service mindset.Ability to manage multiple tasks and priorities in a fast-paced environment.Resourceful, proactive, and eager to take initiative.Comfortable working independently as well as collaboratively within a team.Creative problem-solver who adapts quickly to changing needs.Experience working with vendors, venues, and event contractors.Proficiency with Google Suite, Slack, Zoom; experience with event software (Cvent, Bizaboo or similar), Marketo and Salesforce preferred.Ability to travel up to 25% domestically and internationally to support on-site event execution.Nice To Haves :
Prior experience supporting trade shows, conferences, or corporate events.Familiarity with project management or collaboration tools (Notion, Asana, Trello).Experience with event registration platforms and virtual event technologies.The pay range for this position is $60,900 to $91,300 for all U.S. locations. This range reflects the minimum and maximum amounts we believe in good faith, at the time of this posting, are appropriate for this role. Actual compensation may vary, subject to future adjustment as needed.
