Job description

Summary Statement

This is the first line supervisor of a unit of judicial case processors and judicial case managers ensuring cases are processed expeditiously and legally. Supervision of judicial case managers is required to be classified at this level. The incumbents are thoroughly versed in the operations of the court and associated functions in other courts. This position will be based primarily in Sussex County, with a typical schedule of three days per week in Sussex County and two days per week in Kent County. Occasional travel to New Castle County may also be required.

Essential Functions

Civil Action Supervision : monitor and assist with the clerk review queue monitor and assist with telephone coverage and retrieval of voicemails, speak with law firms / litigants / walk-in customers to assist staff or when situations warrant, monitor and assist with issuance of summonses and registered mailings, assist All Chambers, responsible for new case 348 deed restriction, monitor and assist with name search requests and archive requests, assist with microfilm and / or old case searches, monitor and assist with appealed cases filed with Supreme Court to ensure deadlines are met and appeals are recorded and tracked, monitor and ensure Rule 5.1 Confidentiality unsealing timelines are met, answer questions and provide guidance to Civil Action staff regarding FSX, clerk review, court rules, and procedures, works with and provides support to co-supervisor and Judicial Operations Manager to assign staff to in-court events / trial tech setups statewide / case maintenance, monitor and assist in the preparation / finalization and uploading of the weekly court calendar and ensure dissemination, Attend meetings / participate in workgroups / projects, assist with the creation of new forms / manual instructions, review / prepare orders and send In Forma Pauperis. requests to judicial assistants for review and process accordingly, and assigns staff Delaware Learning Center training programs along with holding internal refresher training sessions for staff with co-supervisor.

Case management / case maintenance - monitor and review new case filings / case dismissals / assignments / transfers, track case statuses, scan / e-file granted orders, contact law firms, keep all informed of project statuses, case review, draft letters, communicate and collaborate with Chambers and execute requests as directed, enter and send trial exhibit disposal letters and prepare orders, sends emails to counsel / Capitol Police / court staff / FSX support, correct errors and work with staff to avoid future errors, . Human Resource / Personnel - review and approve / disapprove time off requests, ensure staff are where they are supposed to be, assist with the development and enforcement of staff evaluations / performance plans / list of duties, provide training and ongoing guidance to staff regarding the policies and procedures / any new policies and procedures of the court. Registered Mailings - track and prepare registered mails. Reports - prepare and balance Monthly Case Assignments and Case Disposition reports and assist staff with balancing their reports. Other Duties as assigned - consistently maintain professionalism when communicating with attorneys / pro-se litigants / co-workers / supervisors / judicial officers both in-person and on the telephone, back-up staff and ensure that any Register in Chancery timeclocks are properly changed the first workday of each month.

Job Requirements

Applicants must have education, training and / or experience demonstrating competence in each of the following areas :

  • Three years' experience in legal case flow management which includes managing cases as they move through the legal process.
  • Six months experience in interpreting laws, rules, regulations, standards, policies and procedures.
  • Six months experience in using an automated information system to enter, update, modify, delete, retrieve / inquire and report on data.
  • Six months experience in narrative report writing.
  • Knowledge of staff supervision acquired through course work, academic training, training provided through an employer, or performing as a lead worker overseeing the work of others; OR supervising staff which may include planning, assigning, reviewing, and evaluating the work of others; OR supervising through subordinate supervisors a group of professional, technical, and clerical employees.

Additional Posting Information

This position will be based primarily in Sussex County, with a typical schedule of three days per week in Sussex County and two days per week in Kent County. Occasional travel to New Castle County may also be required.
