About the Role

As a Patient Services Team Member, you are the welcoming face and voice of New Life Physical Therapy. Youll guide patients through their visit experience from their first call to their final appointment providing excellent customer service and operational support to our clinical team.

Key Responsibilities

  • Greet and check in patients with warmth and professionalism.
  • Answer incoming phone calls and respond promptly to voicemail and electronic messages.
  • Schedule new and existing patient appointments and assist with rescheduling needs.
  • Communicate clearly with patients about their care, financial responsibilities, and next steps.
  • Collect and process patient payments accurately at time of service.
  • Verify and update patient information and documentation in the EMR system.
  • Scan and upload required forms and medical documentation.
  • Maintain daily, weekly, and monthly cleaning and compliance logs.
  • Assist with daily opening / closing duties and general clinic upkeep.
  • Support internal communication and coordination among the care team.
  • Work closely with physical therapists and leadership to ensure smooth patient flow and consistent service quality.
  • Provide occasional coverage for other team members during vacations or absences.
  • Contribute to a positive, solutions-oriented team culture focused on patient success.

Qualifications

  • Previous customer service or administrative experience (healthcare or front desk preferred).
  • Excellent communication and interpersonal skills with a friendly, professional demeanor.
  • Detail-oriented, organized, and comfortable multitasking in a busy environment.
  • Basic understanding of insurance and patient billing processes preferred.
  • Proficient in computer use; experience with electronic medical record systems, VoIP phones, and Microsoft Office (Outlook, Teams, Excel, Word) a plus.
  • Reliable, punctual, and accountable to both individual and team expectations.

    • Work Environment & Schedule

  • 14 hours / week, 2 days / week consistent schedule you can plan and work around other interests / commitments.

    • Thursday 7 : 30am-5 : 30pm

  • Friday 7 : 30-12pm
  • Opportunity for additional hours for coverage or special projects as needed.
  • No weekends or holidays required.
