Position Overview
The Communications Administrative Assistant plays a vital role in supporting the administrative and communications functions a community church. This position ensures the church operates efficiently while keeping the congregation and community informed, engaged, and connected through multiple communication channels.
The ideal candidate will be organized, detail-oriented, and creative, with strong administrative and media skills.
Qualifications
- High school diploma or equivalent required; college coursework or experience in communications, marketing, graphic design, or related field preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint)
- Experience with social media management, scheduling tools, and digital marketing
- Knowledge of desktop publishing, basic graphic design, and video editing
- Experience managing website content and creating online materials
- Willingness to learn and utilize church management software (e.g., Planning Center)
- Strong attention to detail, accuracy, and organizational skills
- Ability to prioritize tasks, manage multiple projects, and work independently
- Flexible and adaptable to changing ministry needs
- Excellent verbal and written communication skills
- Must pass a pre-employment background check and complete required training
Key Responsibilities
Administrative SupportServe as the primary point of contact for incoming emails, phone calls, and visitor inquiries with patience, kindness, and professionalismProvide general administrative assistance to staff and ministries as directed by the Office AdministratorManage mail, office supplies, and office equipment maintenanceMaintain organized filing systems and church recordsOversee church keys and volunteer bus driver documentationMaintain attendance records and assist with scheduling and preparation for baptisms and eventsMonitor facilities and common areas to ensure they remain neat, organized, and well-stockedCross-train with other staff and provide backup support as neededAttend staff meetings and uphold confidentiality regarding all church businessCommunications & Media
Develop and maintain communication for groups, classes, committees, and special teamsCreate, edit, and distribute bulletins, announcements, prayer guides, and other publicationsManage internal and external communications according to the church's Communication PlanOversee and update church social media accounts (Facebook, Instagram, etc.) using best practices and performance metricsMaintain and update the church website with current contentCoordinate and train volunteers for livestreaming servicesEdit and upload sermons and media to the website and social platformsCapture and organize event photos and videos for archives and promotional useManage media release forms and handle video / media requests from staff and ministriesDesign and manage promotional materials and outreach advertisementsCollaborate with staff on church-wide events and communication initiativesProfessional Expectations
