Position Title : VITA Program Coordinator
Location : Greenfield - Satellite work in Northampton
Status : Non-exempt, seasonal (October-May), evening hours
Supervisor : Director of Community Services
Position Summary : Oversee and coordinate the seasonal VITA Free Tax Assistance Program. The VITA program provides free tax preparation to approximately 500 households per year in Franklin and Hampshire Counties. The coordinator supervises one seasonal tax program staff and trains dozens of volunteer tax preparers and volunteer site coordinators. The coordinator provides on-site management of tax clinics, some of which occur in the evening or on the weekend during tax season.
Essential Responsibilities :
- Manage Community Action Pioneer Valley's free tax assistance program (VITA) including on-site management of operations at in-person tax clinic sites; recruiting, hiring and supervising seasonal staff and volunteers; ensuring accurate and timely IRS submissions and reports; track completion of participants' post-tax clinic tasks as needed.
 - Develop program policies and procedures, and training procedures in conjunction with IRS tax guidance. Stay up to date on IRS regulations, VITA regulations, and training methods for the program.
 - Complete basic and advanced tax law certification and teach volunteers how to prepare taxes using VITA / IRS tax preparation guidance.
 - Attend coalition meetings with other VITA sites and IRS representatives for best practices, technical assistance, and other networking functions.
 - Plan for and oversee tax preparation appointment booking functions with online scheduling tools and phone systems.
 - Oversee volunteer shift schedules for VITA tax clinics in Northampton and Greenfield.
 - Inspire and motivate others to achieve increasing levels of performance excellence.
 - Take an active leadership role in valuing and promoting different perspectives and opinions and approaches.
 - Supervise the program, volunteers, and personnel in compliance with agency policies and procedures. Evaluate job performance and recommend compensation, promotions, and disciplinary actions.
 - Ensure required data, monthly data reports, and other reports are prepared in a timely manner and meet funding requirements.
 - Manage access to database systems following grant and security guidelines.
 - Develop outreach materials and internal referral systems to help promote the VITA program.
 - Required to travel regularly throughout the service area and occasionally out of the service area. Attend regularly scheduled supervision meetings, department and leadership team meetings, mandatory agency trainings, and participate in professional development activities.
