Receptionist / Administrative Assistant (Part-time)
This will be a part-time position (20-30 hours per week). As the receptionist / administrative assistant, the primary responsibilities include greeting and directing visitors, answering and routing phone calls, managing mail and deliveries, maintaining the reception area, and providing administrative support. You are the first point of contact for our business, creating a positive first impression while managing the flow of communication and information within the organization.
We are looking for someone who has a very professional and friendly demeanor, encourages teamwork, has energy and enthusiasm to continually improve processes within our company and other administrative staff to meet or exceed our objectives.
Responsibilities :
- Answer phones / door in a prompt courteous manner, forward as needed to appropriate personnel.
- Open and stamp all incoming mail.
- Handle outgoing mail and packages : Includes postage machine (ink & funds), etc.
- Maintain office supplies for accounting ordering and inventory
- Copying and / or scanning projects as needed by project manager or other personnel.
- Work closely with other administrative personnel to provide adequate coverage for vacation, sick days and other absences.
- Monitor prequalification emails throughout each day and assist as needed. Completion of prequalification questionnaires / forms using information saved on our network drive.
