Job description

Sales Administrative Assistant

The Sales Administrative Assistant provides essential support to the Sales team by coordinating day-to-day activities, preparing quotes, and ensuring accurate information is maintained across systems. This role serves as a liaison between Sales, Project Management, Engineering, Production, and Customers to make sure needs are met promptly and effectively. The Sales Administrative Assistant also helps maintain sales programs and provides general administrative support for the department.

Responsibilities

  • Provide administrative support to the Sales team, including scheduling, preparing documents, and following up on customer requests.
  • Maintain accurate records in sales systems, including customer profiles, sales orders, and part numbers.
  • Assist in preparing and submitting quotes using the Epicor system, ensuring accuracy and timeliness.
  • Support communication and coordination between Sales and other departments to meet customer needs.
  • Help maintain sales program information, including pricing updates, customer communications, and reporting.
  • Track and organize customer inquiries, escalating issues to the appropriate team member when needed.
  • Assist with gathering sales forecast information and updating internal systems.
  • Provide back-up support to sales team members during absences or busy periods.
  • Assist with marketing and sales initiatives such as trade shows, customer events, and promotional activities.
  • Support general office and administrative tasks to help achieve company-wide goals.
