Title : Executive Assistant to Senior Leadership
Location : Bryn Mawr, PA (Onsite)
Compensation : $80,000–$100,000 + 10% annual bonus
Schedule : Monday–Friday, fully onsite

A rapidly growing organization in the real estate and investment space is seeking a polished and highly organized Executive Assistant to provide comprehensive support to senior leaders. This role works closely with three senior-level partners and collaborates with a wider operations team of 40.

Responsibilities
Executive & Administrative Support
- Manage complex calendars, daily schedules, and meeting coordination for senior leadership.
- Coordinate domestic and international travel arrangements.
- Screen and prioritize incoming communications; respond on behalf of leadership when appropriate.
- Prepare memos, correspondence, presentations, Excel reports, and internal documentation.
- Maintain organized digital and physical filing systems and ensure confidentiality of sensitive information.
- Handle office coordination tasks, conference room management, mail distribution, and visitor support.
- Assist with logistics and planning for the upcoming office move.
Client, Investor & Stakeholder Communication
Serve as a key point of contact for clients, partners, and institutional investors.Support investor communications, scheduling, follow-ups, and preparation of meeting materials.Assist with legal and transaction-related documentation and investor reporting workflows.Marketing & Database Coordination
Assist with marketing initiatives, email outreach, and social media support.Help create and format marketing materials, presentations, and collateral.Maintain CRM databases, property management platforms, and internal tracking tools.Operational & Office Management
Oversee office supplies, inventory, and equipment needs.Coordinate with building management, vendors, and service providers.Assist with onboarding tasks and provide support to the operations team.Ensure daily office functions run smoothly and maintain a professional environment.Financial & Project Support
Assist with invoice processing, expense reporting, budgeting, and financial tracking.Maintain timelines, documentation, and materials for real estate transactions and internal projects.Organize and distribute property, financial, and project-related files.Requirements
Education : Bachelor’s degree strongly preferred.Experience : 5+ years of Executive Assistant or senior‑level administrative experience, ideally in real estate, financial services, investment support, or other complex corporate environments.Preferred : Notary Public certification or willingness to become one; experience supporting investor or transaction workflows.Benefits
