Job description

SUMMARY Paragon Professional Services, a company within the BSNC family is currently seeking a qualified Office Manager for the Hanover, MD office and area.

The Office Manager performs a broad range of administrative duties in support of contracts and associated employees for the local office.

Office Manager must be able to handle and prioritize multiple tasks for various stakeholders; including but not limited to employees, subcontractors, government clients, other departments, and office vendors.

The successful Office Manager must present a positive image to represent the company well while being self-directed and proactive in performing their responsibilities with a sense of urgency.

ESSENTIAL DUTIES & RESPONSIBILITIES The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job.

Other duties may be assigned.

Perform standard office duties such as the production of general office written or electronic correspondence.

Prepare memos, correspondence, reports, briefing charts and other documents Coordinates activities of various departments or workers within the department Perform assigned company onboarding / offboarding activities for all employees at the local office Coordinate with client representatives to ensure they have the required information for personnel coming onto and leaving the contracts supported by the local office Coordinate with client representatives to ensure CAC and GFE for all employees and subcontractors are expediently obtained from or turned in to client representatives Manage and organize office operations, including but not limited to auditing expense reports, filing, requisition of supplies, and other clerical services Procure items and services as needed and properly and expeditiously accomplish the associated expense reporting Screen visitors, phone calls, emails, and physical mail and handle follow-up tasks accordingly Support / participate in regularly scheduled meetings including taking minutes, recording and tracking action items.

Maintain and housekeep local office Teams site Organize special events Organize team offsite meetings and associated logistics, including booking hotel blocks, managing offsite technology needs, meal planning, etc., as requested or where required Perform other duties assigned by the Operations Manager QUALIFICATIONS

Required (Minimum Necessary) Qualifications (applies to both this section and KSAO’s) Five (5) years of office or facilities management and coordination experience High school diploma or equivalent Must have or be able to attain a National Agency Check with Inquiries, requires US Citizenship Knowledge, Skills, Abilities, and Other Characteristics Preferred Shows initiative and is proactive Highly organized and detail oriented Customer service oriented Effective verbal and written communication skills Ability to prioritize multiple tasks Ability to perform duties with minimal guidance Strong Microsoft Office skills Experience in the classifications managed NECESSARY PHYSICAL REQUIREMENTS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

DOT COVERED / SAFETY-SENSITIVE ROLE REQUIREMENTS This position is not subject to federal requirements regarding Department of Transportation “safety-sensitive” functions.

WORK ENVIRONMENT Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system.

The work described herein is primarily a modern office setting.

Occasional travel may be required.

SUPERVISORY RESPONSIBILITIES Hires and supervises direct reports.

ADDITIONAL QUALIFYING FACTORS As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results.

If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
