Customer Service, Data Coordinator

Full-Time | West Hills, CA (On-Site)

As a Customer Service, Data Coordinator, you’ll support both clients and internal teams by entering and updating case records, answering service questions, processing orders, and helping maintain smooth case flow across departments.

  • Keep lab operations organized with consistent case tracking and scheduling

What You’ll Do

  • Enter case data into the production system to generate records and tickets
  • Provide paperwork for all remake and repair cases, enter remake case info, and update repairs after evaluation
  • Update cases as needed and manage case holds, combining and rescheduling when required
  • Answer all incoming calls by the third ring, transferring as appropriate
  • Interact with clients by phone regarding case status, scheduling, rescheduling, pricing, product options, and tracing
  • Create zero invoices for clients needing slips, air bills, and boxes, and provide them to shipping for processing
  • Schedule daily pickups (including messenger requests throughout the day)
  • Scan case paperwork, shade tabs, and photos while maintaining an organized filing system
  • Enter new accounts and manage assigned accounts (including UCLA)
  • Schedule and manage custom abutments, shades, and finishes both in-lab and in-office
  • Maintain appointment calendars and inform personnel of scheduling updates
  • Support other departments as needed
