Job description

Special Events Coordinator

The City of Poulsbo's Parks and Recreation Department's vision is to be the heart of a healthy community through sustainable, safe, and diverse programs and open spaces, where all residents and visitors feel inspired to live, play, learn, and thrive. The department is supported by a dedicated team of 6.75 full-time employees working alongside an expansive team of over 100 instructors, recreation specialists, facility attendants, and other vital team members. This community-focused workforce operates across four primary divisions : Recreation, Parks and Trails, Special Events, and Administration. These divisions oversee approximately 1,200 annual recreation programs, manage 26 parks encompassing 170 acres of parkland, and over 5.5 miles of trails. They also coordinate over 10,000 volunteer hours each year as well as manage the permitting to support 40 annual special events within City limits. The department's initiatives have been recognized and received awards from the National Recreation and Parks Association, Washington Recreation & Parks Association, and multiple other affiliated organizations.

Under the direction of the Parks and Recreation Director, the Special Events Coordinator is responsible for promoting, coordinating, and reviewing special events on behalf of the City of Poulsbo. This position serves as an expert resource and the point of contact for the community and City departments who are interested in organizing and hosting special events within City limits. The Special Events Coordinator plays a central role in facilitating communication between event organizers and City departments to ensure safe, successful, and well-managed events that align with City policies. This position is funded through lodging tax revenue and will also support the Parks and Recreation Director in administering duties related to the Lodging Tax Advisory Committee, which may include administrative tasks, documentation, and liaison activities. This is not a supervisory position.

Minimum Qualifications

Any combination of education and experience that provides the knowledge, skills, and abilities to perform the duties of this position will be considered. The ideal candidate will meet the following qualifications :

  • Associate's degree and at least one (1) year of relevant experience in a related field (e.g., recreation, hospitality, tourism, marketing, or communications).
  • Demonstrated experience in event planning, event management, or related coordination roles.
  • Possession of a valid Washington State driver's license and safe driving record are required.
  • A satisfactory background check is required for this position, as it involves unsupervised access to individuals under 18 and / or vulnerable adults.
