This position is located in Tallahassee.

Position Overview and Responsibilities :

Internal Processes :

  • Be knowledgeable of all bureau processes and associated screens (including website). Assist with and coordinate requests for Integrated Retirement Information System (IRIS) or website corrections and enhancements.
  • Prepare and assist bureau sections with preparing System Investigative Report (SIR) documents to alert contracted systems consultants that problems exist, or to request system enhancements to IRIS or website screens.
  • Assist each section with testing corrections or enhancements to IRIS or website, including coordinating testing with staff from other division areas for cross functional SIRs.
  • Responsible for ensuring each SIR is thoroughly tested before changes are implemented to ensure data integrity.
  • Track and monitor all stages of bureau's SIR projects.
  • Provide user assistance for navigating IRIS / workflow screens and identifying interface problems. Coordinate reporting the bureau's IRIS and / or workflow problems to contracted systems consultants and ensure timely and effective resolutions.
  • Serve as liaison between the sections within the bureau, other division functional areas, and contracted systems consultants on cross-functional issues.
  • Coordinate and act as bureau liaison for projects such as the HIS Tax Exclusion, COLA, Preservation of Benefits including 1099 Misc, and IRS 1099-R project including 945, 945X and 945a.
  • Coordinate all stages of the outgoing correspondence to our external customers.
  • Coordinate the bureau changes / additions to the Knowledge Base.
  • Assist with all aspects of the bureau's administration of Insurance Deductions.

Projects :

  • Coordinate special projects for the Bureau of Benefit Payments and division management team.
  • Performs other related duties and assignments as required.
  • Website :

  • Review web user reports to proactively identify accounts that need additional review.
  • Determine which reviewed web user accounts need customer service follow up and / or an administrative block to FRS Online access. May contact payees or members for additional information, as needed.
  • Follow up with our Program Integrity Section regarding customer-initiated complaints about possible unauthorized access to their FRS Online (web account). Examples include customers calling about letters they received notifying them of changes to direct deposit information, FRS Online account information, or address changes.
  • Follow up and monitor individual accounts being reviewed and report to division management team as required.
  • Additional :

  • May develop and maintain templates and standard comments used in the section's correspondence.
  • May participate in workshops, seminars, and training sessions for agencies.
  • May assist sections within the division as needed.
  • Customer Service :

  • Provide customer service that requires expert knowledge of the Florida Retirement System (FRS) and all existing systems, the Florida Statutes, rules, division policies, and any applicable Internal Revenue Service (IRS) codes that relate to retirement payroll processing, reporting annual income and tax deductions, and the HIS program.
  • Compose complex correspondence, memoranda, etc. to members and agencies. Prepare complete, accurate, and grammatically correct responses to customers' inquiries by letter or email.

  • Minimum Qualifications : Six years of professional experience in the area of insurance, retirement or social security, administration, call center, customer service, fiscal work, statistics, or personnel. A postsecondary degree may be used as an alternative for years of experience on a year-for-year basis.

    Division of Retirement : The mission of the Division of Retirement (division) is to deliver a high quality, innovative, and cost-effective retirement system. The division currently has 221 full-time retirement staff and manages a FY 2025-26 operating budget of $48,864,720. The division administers the Florida Retirement System (FRS) Pension Plan, currently the fourth largest state retirement system in the US with more than 1.1 million active, retired, and terminated vested and non-vested members and $191.6 billion in assets. The division pays out $12.9 billion a year in retiree benefits and maintains the service history, vesting and membership status records, and collects nearly $5.5 billion annually in employer and employee contributions from more than 1,000 employers for all FRS members.
