Ascension Global Staffing & Executive Search is seeking a highly skilled and proactive professional to join our client’s Miami office as a Real Estate-Construction Legal Support Specialist . This position requires regular in-office presence to support day-to-day operations, team meetings, training, and relationship-building opportunities.
Key Responsibilities :
- Draft, review, edit, and proofread legal documents, including correspondence, memoranda, closing documents, and other practice-specific materials.
- Prepare closing statements, closing binders, disbursements, and title policies.
- Assist in drafting opinions, memos, and other attorney correspondence.
- Ensure attorneys comply with client-specific requirements, including billing.
- Manage practice calendars to optimize workflow and efficiency.
- Maintain organized legal files (both electronic and paper) and manage document deliveries.
- Support attorneys with administrative tasks including opening new matters, drafting engagement letters, travel arrangements, expense reimbursement, and maintaining calendars.
- Collaborate with paralegals and other legal support staff as needed.
- Receive and evaluate phone calls for attorneys and relay messages promptly.
- Assist with overflow work, special projects, and other duties as assigned.
Qualifications & Skills :
Proven experience handling real estate transactions and closings.Knowledge of title matters, lien searches, and electronic recording (e.g., Simplifile).Strong administrative skills, including arranging travel and processing invoices.Excellent problem-solving abilities and capacity to manage multiple priorities.Self-starter who works independently and efficiently with minimal supervision.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Exceptional attention to detail, organizational skills, and time management.Excellent verbal and written communication skills.Ability to work under pressure and meet deadlines.Flexibility to work overtime as needed.Education & Experience :
Bachelor’s Degree or equivalent experience preferred.Minimum of seven years of experience in a medium to large law firm’s Real Estate department.Bilingual in English and Spanish preferred.Experience with iManage is a plus.Technology :
Proficiency with Windows-based software and Microsoft Office applications required.
