Role Overview :
As Executive Assistant and Office Manager, you will provide comprehensive support to our CEO and senior leadership while ensuring smooth office operations. This role requires a proactive, organized professional who thrives in a fast-paced environment, maintains strict confidentiality, and demonstrates exceptional problem-solving abilities. You must excel at complex calendar management, travel planning, relationship building, and cross-functional collaboration, while working independently on routine matters.
Key Responsibilities
Executive Support
- Calendar & Time Management : Oversee CEO’s professional and personal calendar, ensuring strategic alignment and effective time management.
- Meeting Coordination : Coordinate stakeholders for executive meetings, align agendas with strategic objectives, and document outcomes.
- Communication Management : Triage CEO’s email inbox, act as a gatekeeper for communications, and ensure timely follow-up on critical items.
- Strategic Support : Prepare briefing documents, maintain prioritized to-do lists, and conduct research and analysis for decision making.
- Board Deck Preparation : Overseeing the timeline for board meeting and deck preparation, leading the deck preparation, coordinating the executive submittals and edits, and ensuring it is sent to the Board members according to the prescribed timeline.
- Weekly Executive Meetings-Coordinate the agenda for weekly executive meetings (Monday & Fridays), attend these meetings, and maintain action items and key deliverables, and maintain absolute confidentiality of critical business and employee matters
- Project Leadership : Lead strategic projects aligned with company goals and serve as liaison between CEO and other executives.
- Stakeholder Relations : Build and maintain key relationships across the organization.
- Logistics Oversight : Manage travel arrangements, client gifts, venue selection, and technology support.
- Proactive Planning : Anticipate short, medium, and long-term needs and take preemptive action.
- Personal Support : Provide personal assistant services and serve as CEO proxy in meetings as directed.
Office Management & Operations
Facilities Management : Maintain office supplies, common areas, decor, and foliage.Hospitality Services : Greet guests, ensure room preparation, manage parking access, and handle food service requests.Vendor Relations : Liaise with building management and vendors; manage package shipping / receiving.Access Control : Oversee office permissions, parking, and desk booking software.Event Logistics : Partner with People Team and Unity Team on company-wide events (Mission meetings, Town Halls, anniversaries, holidays, team building activities).Company Culture & Cross-Departmental Support
Event Planning : Support special projects, presentations, and research initiatives.Travel Coordination : Organize team travel for off-sites and manage RSVP coordination.Calendar Management : Partner with teams to maintain the company calendar and coordinate people change communications.Perks Management : Work with Unity Team on company benefits and perks.Budget Management : Partner with Unity Team and Marketing Team on event budgets, forecasting, and vendor negotiations.Media Coordination : Manage photography and videography needs; evaluate professional vs. in-house resources.Annual Events : Execute routine team bonding events, holiday parties, and Annual Anniversary celebration.Vendor Management : Source and manage event planners as needed.Special Projects & External Activities
Community Initiatives : Support Koala Corps activities (Children’s Hospital community initiative).CEO Marketing and Special Project Support : Assist with YPO Chapter Chair activities, newsletters, podcast, Chief Audio Officer Club, Alliance for Measurement in Podcasting Task Force, social media, and conferences.Project Management : Create presentations, provide proofreading and editing, and oversee design work.Your Skills / Preferred Qualifications
3+ years of experience in executive support, event planning, and office management.Bachelor's degree or equivalent experienceExcellent organizational and multitasking skillsStrong communication and interpersonal abilitiesProficiency in Google Drive, Zoom, and calendar management toolsAbility to handle confidential information with discretionFlexibility to adapt to changing prioritiesResourceful and efficient problem-solverBenefits
