Position Description

The Billing & Finance Support Specialist supports Northwest Passage’s growing finance and clinical operations, focusing on Clinical Billing and Finance Operations (AR / AP).

Reporting to the Finance Manager, this position works closely with internal teams and a third-party billing partner to ensure accuracy, efficiency, and communication throughout the revenue cycle. The role also assists with accounts payable, receivable, reconciliations, and audit preparation.

As Northwest Passage expands into a new outpatient clinic, this position helps establish consistent billing and finance procedures while contributing to an organization with over 45 years of trusted behavioral health experience.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Clinical Billing & Claims Support

  • Help develop and maintain billing SOPs and workflows in coordination with internal teams and the third-party billing provider.
  • Serve as billing liaison, ensuring clear communication and timely issue resolution.
  • Verify intake information for completeness and billing accuracy.
  • Track and review claims, payments, and denials to ensure compliance.
  • Perform quality checks on billing data and assist with reconciliations.
  • Stay informed on payer, Medicaid, and insurance billing requirements.

Finance Support : AR / AP

  • Support day-to-day accounts payable and receivable processing.
  • Process vendor invoices and payments with proper coding and approvals.
  • Post payments, track balances, and assist with month-end close.
  • Maintain vendor and client records for accuracy and timely payments.
  • Support housing-related accounting (leases, rent, stipends).
  • Assist with audits, reconciliations, and financial documentation.
  • Collaborate with HR and program teams to ensure accurate expense tracking.
  • General Duties

  • Respond promptly to internal and external inquiries.
  • Maintain data integrity in financial and clinical systems.
  • Support process improvements and other finance or administrative duties as assigned.
  • Qualifications

  • High school diploma or equivalent required; associate’s degree in Accounting, Finance, or Healthcare Administration preferred.
  • Two (2)+ years of experience in billing, AR / AP, or finance support, ideally in a healthcare or behavioral health setting.
  • Experience with healthcare billing systems, including Medicaid and commercial payers.
  • Knowledge of medical billing codes, modifiers, and authorization processes.
  • Proficiency with Microsoft Office (Excel, Outlook, Word) and accounting or billing software.
  • Strong attention to detail, organization, and time management.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Effective communication and collaboration skills.
  • Familiarity with HIPAA and confidentiality standards.
