JOB PURPOSE : The Accounting Clerk is responsible for assisting in the processing of payments to suppliers and reimbursements. Creates supplier requests if suppliers are not in Workday. The Accounting Clerk is responsible for troubleshooting suppliers and supplier invoices in Workday, assisting departments with questions, as well as training departments on all supplier invoices, and expense report related issues in Workday. This position reviews supplier invoices in Workday under $1500 and Expense Reports under $1000. This position also supports the Disbursement Clerk, Accounts Payable Specialist, Expense Procurement Specialist, and performs other general accounting projects as assigned.
ESSENTIAL FUNCTIONS :
- A / P data entry
- Create supplier requests if suppliers are not in Workday, obtaining proper documentation as needed, including W-9 / VDRs and New Direct Deposit vendors
- Request non-California resident tax forms from vendors as necessary
- Train departments on all supplier invoices, and expense report related issues in Workday
- Troubleshoot suppliers and supplier invoices in Workday, including assisting departments with general Workday questions
- Review and approve supplier invoices in Workday under $1,500
- Review and approve expense reports in Workday under $1,000
- Create ad hoc payments in Workday
- Follow up on outstanding stale-dated checks and request re-issuance as necessary
- Support Accounting Clerk II-Disbursement, AP specialist, and Expenses and Procurement Specialist
- Coordinate special projects / tasks and provide support and / or assistance as assigned
QUALIFICATIONS :
High School Diploma or GED is required, or equivalent combination of education and experience. Some college or business school coursework in accounting or a related field is preferredA minimum of 4 years of office experience, including 2 years in a purchasing or accounting office, excellent mathematical, verbal, and writing skills are required. Experience with computerized accounting systems, interactive computer systems, word processors, and spreadsheet software is highly desirable. Experience at an academic institution is preferredREQUIRED KNOWLEDGE AND CRITICAL SKILLS : This position must possess the knowledge, skills, and abilities to successfully perform the essential functions of the position or be able to demonstrate how the essential functions will be performed, with or without reasonable accommodation, using other skills and abilities not listed below.

Overtime, holiday, weekend, and evening work hours may be required. Regular hours may vary due to the needs of the College or division.
HOURLY RATE : The hourly rate for this role is between $21.00 and $25.00 per hour with a competitive benefits package. The specific factors that the College will consider when offering a salary to an individual will include, but not be limited to : education, training, relevant prior experience, and performance in prior roles.
