Warranty coordinator

Position Summary

The Warranty Coordinator is responsible for managing the end-to-end processing of warranty claims to vendors and manufacturers. This role ensures claims are accurate, timely, and fully supported with the proper documentation. The Warranty Coordinator works closely with branch teams to gather required information and plays a key part in securing vendor credits or replacement products. This position reports to the Warranty Manager.

Essential Job Functions

• Warranty Processing: Maintain warranty claim workflows at established targets, preventing backlogs and ensuring prompt vendor credits for returned products.
• Claim Prioritization: Process warranty claims based on vendor priority levels and company guidelines.
• Reporting & Analysis: Run and analyze reports-including open purchase orders, return goods queues, inventory valuation, and product history-to support timely and accurate claim resolution.
• Vendor Communication: Build and maintain strong working relationships with vendors. Collaborate on approvals for questionable claims and help secure credit or replacement merchandise.
• Branch Collaboration: Support branch personnel (counter sales, warehouse, management) by guiding them through proper warranty procedures to ensure complete and accurate submissions.
• Research & Follow-Up: Investigate claim issues, follow up on outstanding documentation or vendor needs, and address internal/external customer inquiries related to warranties.
• Additional Duties: Perform other responsibilities as needed to support efficient and smooth departmental operations.
