The Administrative Supervisor provides leadership to administrative and nursing staff working with the SBU. The position reports to the Clinic Administrator or Ambulatory Care Director. The Administrative Supervisor, along with the Clinic Administrator or Ambulatory Care Director is responsible for assuring high quality administrative service to Kelsey-Seybold patients. The position is responsible for implementing standards, policies and procedures formulated and recommended by Kelsey-Seybold Clinic. The position directly supervises administrative staff in small clinics where the Clinic Administrator has responsibility for more than one SBU. In very large clinics (e.g. West and The Main Campus), the Administrative Supervisor may supervise two or more coordinators or large administrative support departments.
Primary Responsibilities :
- Manages customer service and initiates appropriate action. Performs as the on-site manager when the Clinic Administrator is not available. Evaluates patient flow and administrative service provided by the administrative staff member. Identifies and manages problems associated with administrative patient services and initiates appropriate decisions and solutions. Implements and monitors administrative service standards, protocols, policies and procedures. Assists the Clinic Administrator in maintaining appropriate administrative staff ratios. Performs in a line administrative positions and supervises line administrative staff in the daily operational activities of the SBU. Maintains a safe and clean environment. Maintains confidentiality in the delivery of healthcare services.
- Assists in establishing corporate policy and procedures. Works with functional and staff units in developing and implementing policies and procedures related to : Finance, Managed Health Care, Quality Assurance / Risk Management, Marketing, Purchasing and Human Resources.
- Establish and maintain control of profit and loss for the clinic. Review and present capital equipment proposals. Formalize and review appropriate levels of funding for each clinic. Create specific objectives and performance targets for each clinic. Allocate resources and focus work efforts on strategic objectives. Control costs by establishing budgets and formulating compliance standards. Monitor expenses and review cash flows for the clinic. Pursue alternatives to generate incremental revenue, leading to improved net income. Ensures that asset base will earn adequate financial returns after accounting for maintenance, replacement and upgrades.
- Ensure timely and ongoing plan information is communicated throughout the clinic. Work directly with managed care department in ensuring operational objectives are being met to support contractual agreements. Provide for continued training and development in area of managed care contracts. Ensure clinic compliance with all managed care contractual agreements.
- Works with Risk Manager to ensure safety and minimize risk exposure throughout the clinic for patients and employees. Provides for timely and ongoing training and in-services for clinic staff to ensure reduced liability and risk.
- Identify and create an appropriate market environment for each geographical location. Focus each clinics energies on improved customer relation. Analyze each clinics capacity in conjunction with conducting market analysis of each geographical location to determine growth and maintenance. Interact with customers and markets both internal and external to the organization. Collaborate with Marketing to create marketing strategies in an effort to maximize revenues. Collaborate with Marketing to establish Kelsey-Seybold Clinic as a responsible and ethical corporation within the local communities. Collaborate with Marketing to formulate strategies to determine and achieve growth in the healthcare market. Collaborate with Marketing to choose and develop market segments where particular strengths can be exploited and developed. Collaborate with Marketing to evaluate the competitive strategies of rival organizations. Collaborate with Marketing to search out new market segments and new geographical areas to enter.
- Works with Purchasing Manager and Facilities departments to ensure equipment and facilities needs are appropriately procured. Secures necessary supplies and equipment with assistance from the Purchasing department. Monitors supplies and equipment expenditures and works closely with Purchasing department following clinic policy and guidelines.
- Provides guidance and leadership to the clinics. Collaborate with Human resources to establish relative and measurable criteria for evaluation of all staff members. Develop subordinates by utilizing training, guidance and continuing education. Provide performance feedback to direct reports. Evaluate staff performance and career development. Develop and maintain open lines of communication throughout the organization. Apply clinic policies and procedures to all employees; including equal opportunity and affirmative action. Conduct and attend staff meetings. Develop staffing patterns for each department. Provide an open door policy for all employees.

Required Qualifications :
High School diploma or equivalent4+ years medical office experience to include the following : face-to-face customer service, cash handling, patient registration, appt scheduling, medical billing, charge entry / capture, experience & knowledge of managed care. 1+ years of medical office supervisory experience OR 4+ years of KSC Medical Office experience in a Coordinator or Leadership capacityBasic Math ability10 Key touchBasic PC Literacy. Bachelor Degree in a related field5+ years of the following; medical insurance / managed care, cash handling, cash close out, and direct face-to-face customer service experienceMicrosoft Word & ExcelBilingual - English / SpanishPay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The salary for this role will range from $58,800 to $105,000 annually based on full-time employment. We comply with all minimum wage laws as applicable.
