Functioning as the head of TPA’s operations, The VP for Program Operations and Administration , is a senior leader, working collaboratively with TPA’s Executive Director and cross org leadership team in the oversight, management, and standard creation for the organization’s essential functions.
TPA’s programs are geared at under-resourced communities, teams and organizations and the VP for Program Operations and Administration serves as the lynchpin in the organization’s effective national execution.
The ideal candidate brings a deep understanding of the special needs of under resourced communities and an abiding commitment to excellence in service delivery and partner cultivation. The hired leader will bring deep experience in small and large-scale logistics, operational execution, project management, and pre and post execution analysis.
The hired leader will supervise a small team of staff including the Senior Director of Program Quality and Impact, a Director of Partner and Community Activations, the Program Operations Manager responsible for shipping nationwide and an office Manager. The VP will also be the leader responsible for shepherding the relationship with TPA’s building maintenance team and contracted talent for security and IT.
Duties and Responsibilities
The VP, Program Operations and Administration manages the day-to-day operations of TPA, including our office and worksites for service events, technology, and administration. The VP, Program Operations and Admin oversees the implementation of operational policies and practices such as information systems, risk management, data collection and privacy, and cybersecurity ensuring effective operations. The VP, Program Operations and Admin also leads the organization’s efforts to improve operational efficiency and effectiveness, including process improvement and cost reduction.
TPA’s VP, Program Operations and Administration will be able to appreciate the unique while creating symmetry and connectedness for the benefit of the whole. The desired candidate will be able to create protections and corrections for the organization even in the face of its best intentions. The ideal candidate will be highly skilled, nonprofit savvy, energetic, and have extensive leadership experience showcasing an ability to serve a mission with many, interrelated intersections between needs and means.
Leadership & Collaboration
Work in close partnership with leadership to align operational priorities with TPA's mission and visionCollaborate with senior leaders across departments to ensure seamless coordination and execution of initiativesParticipate and lead effective leadership meetings and cross-functional work groups to promote alignment, innovation, and continuous improvement across the organizationModel and adopt cross org compliance with operational budgets ensuring access to tools for tracking and optimization.Lead the development and oversight of cross org standards related to vendor selection and management ensuring an equitable and transparent process and compliance with best practices for audited, charitable organizations.People Managemen t :
Contribute to developing operational strategies, policies and procedures, and ensure policies are disseminated to all applicable staff; regularly sharing important information and updates to staff.Actively assess risks, model and demonstrate the best means of de-escalating conflict as a practice, collaborating with others to find solutions and prevent crises.Function as a culture-builder by working closely with TPA’s PEO (Insperity) to support staff’s use of provided resources, limiting barriers that may create challenges and negatively impact the org’s workplace culture; keep senior leadership informed and shepherd what’s needed for improvements;Lead the recruitment, onboarding and retention of staff working closely with TPA’s recruiter and PEO (Insperity). Ensure that TPA’s diverse and inclusive culture is maintained and its core values are reflected through effective policies and practices.Program Support Services
Collaborate with the leadership team to implement and execute on operational strategies that support program quality and scalabilityManage contracts and vendor relationships for essential support servicesEnsure, oversee, and drive compliance for key program support models across the organizationWork collaboratively to ensure the evaluation and improvement of TPA’s service delivery using performance data and feedback on evolving program needsLogistics & Operations Management :
Oversee TPA’s 3PL relationships ensuring excellence in purchase, shipping and etc. related to vital supplies intended for players and charitable programs and schools across the United StatesLead the development and incorporation of operationalized security protocols and SOPs across the organization including facilities, service events, travel and etc.Ensure operational excellence and efficiency in supporting regional, national, and international events and community engagement initiativesOversee proper system of maintenance and repair services for TPA assets used in the delivery of the mission’s work.Risk, Safety, and Security Management
Develop and maintain operational policies and proceduresConduct regular internal audits and site reviews to ensure compliance with all regulatory requirementsLead the design and implementation of an organization-wide risk and safety strategyOversee incident management processes, working with TPA’s vendors and contractors to ensure appropriate strategies for mitigation of incidents are employed.Qualifications :
Bachelor’s degree, Minimum; Master’s preferredMinimum 15 years experience in managing operations, administration, logistics, events and nonprofit service deliveryAbility to be on-site at TPA’s headquarters daily, during the org’s regular office hours, with minimal travel requirements as needed for pop up service sitesA successful track record in setting priorities, problem-solving, and sound decision-making.Strong organizational and project management skills with the ability to handle multiple tasks under tight deadlines.Advanced Proficiency in Google Suite and Microsoft Office Products as well as those for operations and data management as well as project, portfolio and productivity management; proven track record in establishing org wide IT standards including selecting, purchasing and implementing systems best matching org needs and budgetExperience in developing, implementing and evaluating SOP’s for nonprofits that may be demonstrated upon requestPrevious success in implementing systems of continuous improvement that may be shared and easily discussed as neededStrong communication skills (verbal and written) that you may demonstrate without access to AI tools such as ChatGPTAbility to set priorities, multi-task, meet deadlines, lead and work as part of a teamStrict adherence to TPA’s philosophy / mission statement / goals and commitmentsHold a belief in and commitment to communities of color owning, authoring and executing on philanthropic solutions focused on the beloved community without apologyFamiliarity, comfort and commitment to excellence in both the principles and practices of diversity, equity and inclusion of all peopleStrong, honest, ethical work demeanor and styleDemonstrated ability to provide attention to detail and concern for accuracy and consistency in resultsFriendly, outgoing personality, with an ability to connect via phone / zoom and in personAble to effectively communicate with peers, colleagues, and community members via excellent listening and communicationAbility to work independently and in a team environmentOrganized and self-motivated with ability to meet strict deadlinesFull-time equivalent (Required)
