Mail Services Coordinator
Under general supervision, a Mailroom Services Coordinator shares in the responsibilities of delivering mail and other services to the Bank operational departments according to schedule and on demand. Services include; scanning documents, managing supplies, preparing materials for distribution, and replacing toners. Coordinators assist with branch related compliance mailings, preparing shipments, and operating equipment to deliver these services with a high degree of professionalism and impeccable customer service. Essential Functions
- Ensures that the examining and handling of mail in all circumstances is performed according to procedure with accuracy and complete discretion.
- Prepares and examines outgoing mail for appearance, weighs and affixes postage using postage meter equipment.
- Scans bar codes on packages and tracks deliveries using the Wits system for the secure delivery of mail not addressed to an individual or department and / or the handling of customer NPI and Bank sensitive information.
- Processes airfreight and overnight deliveries; Communicates tracking information as necessary.
- Prepares interoffice mail for delivery to branches and regional offices.
- Coordinates with departments on electronic document storage requests by establishing a scanning protocol and reducing on-site paper storage.
- Collaborates on the reconciliation of daily reports.
- Assists the Record Retention department with services as needed with shred bin replacement.
- Operates copier equipment to fill the requests of the copy area.
- Prepares distribution of materials supporting regional marketing campaigns.
- Provides follow up on routine questions and problems, escalating urgent requests to Manager for resolution.
- Prioritizes executive requests and ensures accuracy with service delivery.
- Attends OSHA training to operate elevators as necessary.
- Keeps informed of postal regulations as they affect the Bank's mailings and postage equipment.
- Delivers accurate, responsive and courteous customer service to every customer (internal & external) every time.

Required Education and Experience :
High school diploma or equivalent.Copier, mail meter and mail insertion equipment experience desirable, basic knowledge of office equipment helpful.Knowledge, Skills and Abilities :
Working knowledge of the geographic area and a good sense of direction.Computer literate with basic proficiency in Microsoft Office applications.Valid driver's license and clean driving record required.Knowledge of standard office practices and procedures.Strong organizational skills.Good mechanical skills.Good customer service skills.Works well independently or as a member of a team.Ability to lift and carry 55 pounds unassisted or assisting others (with or without) using mechanical equipment.Ability to perform job function in all weather conditions.Ability to operate standard office equipment.Ability to follow directions and handle repetitive tasks.Ability to successfully complete multiple tasks.Ability to perform job functions with professionalism.Flagstar is an Equal Opportunity Employer
