About This Position

Mass Audubon seeks a Program Registrar to join our statewide Registration Team, supporting a smooth, welcoming, and professional registration experience for program participants and families. This position provides frontline customer service, processes registrations, manages participant records, and ensures all required forms and documentation are complete.

Program Registrars may be assigned to a specific program area such as Camps, Preschools, Youth & Family Programs, or Adult Education or support registration for a geographic region. Exact work location is flexible.

Internal candidates will be strongly considered for this role.

Responsibilities

Registration & Customer Service

  • Process registrations for assigned lines of business and / or geographic areas
  • Serve as a primary contact for families, caregivers, and participants, answering questions about program details, logistics, arrival times, safety procedures, and accommodations
  • Manage participant waitlists, follow up with families as needed, and communicate changes or updates clearly and promptly
  • Ensure that all required forms and documentation are submitted, accurate, and up to date before program start
  • Escalate complex issues, complaints, or concerns to the Program Registrar Team Lead or program managers as appropriate

Systems & Data Management

  • Enter and maintain accurate participant information in registration systems
  • Support implementation of updated registration protocols and systems, ensuring compliance with organizational policies
  • Assist in tracking enrollment trends, waitlists, and data to inform program planning
  • Collaboration & Communication

  • Work closely with the Program Registrar Team Lead, sanctuary / program staff, and education managers to coordinate logistics for assigned program areas
  • Communicate effectively with families, caregivers, and internal staff to ensure clarity and a positive customer experience
  • Support team-wide registration efforts during peak seasons (e.g., camp enrollment)
  • Qualifications

  • Passion for environmental education and connecting people to our programs
  • Associate’s degree in business, administration, or related field, or equivalent professional experience
  • At least 1-2 years of customer service, administrative, or operations experience (experience with camps, schools, or recreation programs preferred)
  • Strong organizational and time management skills with attention to detail
  • Excellent communication and interpersonal skills; ability to provide clear, supportive information to families and participants
  • Comfort with databases, registration systems, and Microsoft Office
  • Ability to handle sensitive participant data with confidentiality and care
  • Flexibility to work occasional evenings and weekends during peak registration periods
  • Compensation, Benefits and Perks

    This position’s pay range is $21.25-$23.00 per hour; actual salary will reflect level of experience and qualifications relative to position requirements.

    Work Schedule

    This is a full-time position, 40 hours per week. Regular office hours with some flexibility during peak registration times.

    Other Requirements

    Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
