Assistant Office Manager / Respite Counselor
CSO is looking for an Assistant Office Manager / Counselor for our Respite Program in Pittsfield. The Assistant Office Manager is responsible for working collaboratively with the Respite team to manage billing and insurance for clients enrolled in the program, as well as working with the Management team to maintain program inventory and supplies, overall office organization, and provide support to the Senior Program Director and Nurse Manager with ongoing administrative needs. This role will also manage the financial needs of the program including holding petty cash and / or agency-issued credit card and managing reporting. The Assistant Office Manager will work three shifts per week. The other two shifts will be working in the milieu alongside Counselor staff in a Counselor role.
Starting Salary : $38,000-$40,000 / year
As an Assistant Office Manager / Respite Counselor, you will :
- Serve as onsite liaison with the team, helping to resolve administrative issues in the Respite program.
 - Enter client billing into Credible, working collaboratively with the Billing and Revenue Departments to ensure accuracy and timeliness.
 - Monitor supply inventory and manage orders for the program with consideration for both program needs and expense management.
 - Ensure support staff comply with HIPAA confidentiality rules and regulations.
 - Work with Human Resources to ensure initial new hire and other required employee paperwork is completed and returned to HR when necessary.
 - Verify insurance eligibility daily and enter new / updated client data in the computer database.
 - Generate and distribute insurance authorization as needed.
 - Work with the Nursing team to support nursing functions related to administrative needs, insurance, medication ordering and delivery, and other admin tasks as needed by Nursing.
 - Work with the Senior Program Director to support administrative functions as assigned by the SPD.
 - Two days per week, work in the milieu alongside Counselor staff in a Counselor role.
 - In Counselor role, provide support to residents via relationships, engaging in supportive conversation, and providing direction to residents regarding program expectation and rules.
 - In Counselor role, adhere to all expectations of program staff in the milieu including maintaining appropriate boundaries, respecting client privacy, and addressing client needs and concerns as they arise.
 - Enhance professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.

Your background :
