Role Overview
Summary / Objective : The Lead Payroll Specialist is responsible for executing timely and accurate payroll processes and updates. Under the direction of the Payroll Manager, the Senior Payroll Specialist will lead the full life cycle payroll activities for multi-states in the US. This person will also process complete audits and resolve complex employee inquiries.
- This is a fully remote position, offering flexibility to work from anywhere within the United States.
Essential Functions :
Preparing & processing payroll for assigned locations -
Auditing of employee agreements, daily updates, and maintenance in preparation for bi-weekly payroll processing. i.e., W4, State Withholding, Direct Deposit information.Audit Workday changes for accuracy including but are not limited to compensation changes, job / data changes, benefits, and deduction information.Enter, track, and reconcile all manual payroll adjustments as needed.Calculation of pre-tax and post-tax deductions to determine taxable income and validation of taxes.Manual calculation of payroll taxes (Social Security, Medicare, Federal, etc.) and compensation including retro pay.Payroll Taxes –
Review of multi-state jurisdictions and setup taxes for state and local jurisdictions.Reconcile payroll file against ADP for assigned FEINsClawbacks –Manage the clawback process by approving the OTP Sign on Bonuses for terminated providers in Workday documenting and maintaining providers and their payments received on the Clawback tracker.Calculate and provide payment amounts and instructions to Operations Analyst and HR Business Partners. Set up Sign on Bonus payroll deductions for providers with their approval.Post payments received from providers to Treasury in Workday to appropriate quarter / year.Partner with Legal Team for clawbacks in collection to provide documentation of payroll deductions and payments received. Review CSG report for payments made through collections for posting.Lead the Biweekly Clawback meeting with HR Business Partners to discuss and review actions needed and document status updates for all providers.Act as Payroll Manager backup and provide payroll processing support in manager’s absence.Provides coaching, guidance, and support to payroll team. Assist in onboarding and training new payroll team hires.Review the NSA payroll processes and make recommendations for areas of improvement. Assist in the development and documentation of various Payroll initiatives designed to streamline the process and improve efficiency and scalability.Assist employees as needed through phone and managing payroll Zendesk tickets. Includes helping employees resolve payroll and tax issues or time-keeping questions. Troubleshoot problem areas they may be experiencing or not understanding. Building personal relationships with our employees assure them their payroll needs are being met.Remote : This position works remotely; work site attendance may be required from time to time in accordance with business conditions.Promote NorthStar Anesthesia’s Core Values.Demonstrates regular, reliable and predictable attendance.Performs other duties as required.Qualifications :
5+ years of multi-state experience in all areas of payroll processing, knowledge of tax laws, and general accounting practices.Associate degree in the field of Accounting or Business AdministrationCertified Payroll Professional (CPP) preferredKnowledge, Skills and Abilities :
Workday payroll, timekeeping, and absence management experience requiredExperience with ADP requiredStrong functional capabilities with Excel, Word, and PowerPointMulti-state payroll and payroll tax experience requiredExperience in the healthcare industry is a plusAbility to work in a fast-paced and fluid environmentStrong problem-solving skills and attention to detailStrong personal motivation with the ability to work with little supervision and attention to detail while working in a deadline-driven environmentAbility to communicate clearly and concisely across multiple levels within the company as well as between internal and external stakeholders.Works directly with or develops confidential information, which requires regular use of discretion.Qualifications
