Key Responsibilities :
Coordinate permitting processes with local municipalities and track permit statuses
Schedule and confirm inspections; communicate with building departments to ensure compliance
Arrange and track material deliveries to job sites, warehouses, or storage
Pick up and drop off materials, documents, or checks to support field teams
Maintain detailed and organized records of contracts, change orders, RFIs, and permits
Track subcontractor documents, including COIs and compliance paperwork
Support subcontractor scheduling and field logistics coordination
Prepare and distribute reports, updates, and meeting notes for internal and client-facing teams
Assist with invoicing, draw schedules, and payment application documentation
Set up and maintain project documentation folders and logs using company systems
Provide general administrative support to the project team including formatting, scheduling, and correspondence
Qualifications :
3+ years of administrative or coordinator experience in construction, restoration, or related industry
Understanding of permitting, inspections, and general construction project workflows
Proficient in Microsoft Office Suite; familiarity with Xactimate, Buildertrend, or similar systems a plus
Strong organizational and multitasking abilities in a deadline-driven environment
Excellent verbal and written communication skills
Valid driver’s license and reliable transportation for local errands and deliveries
Ability to lift and load light construction supplies and materials as needed
