Job Summary

Orchid Academy is seeking a highly skilled Senior Finance & Billing Manager with strong analytical ability, financial acumen, and technical expertise. This role will oversee billing operations, financial reporting, and KPI management, ensuring our systems and dashboards reflect the health and performance of the organization.

You'll build and maintain dashboards that measure productivity, collections, and billing accuracy-helping leadership make informed, data-driven decisions.

Key Responsibilities

Financial Leadership

  • Oversee all aspects of medical billing and financial management for ABA therapy services.
  • Manage accounts receivable / payable, reconciliations, and monthly close processes.
  • Oversee vendor management, including invoice review, payment approvals, and maintaining accurate records of vendor contracts and performance.
  • Develop and maintain internal controls to ensure accuracy and compliance.
  • Support budgeting, forecasting, and variance analysis in partnership with leadership.
  • KPI and Dashboard Management

  • Build and maintain organizational dashboards that track key performance indicators across billing, collections, and operational metrics.
  • Monitor trends and identify opportunities to improve financial performance and workflow efficiency.
  • Collaborate with leadership to establish meaningful KPIs and set reporting cadences for financial and operational review.
  • Provide clear, data-informed insights that support decision-making across departments.
  • Medical Billing Oversight and Processing

  • Ensure timely and accurate submission of ABA therapy claims to insurance providers.
  • Resolve denials, discrepancies, and coordination of benefits issues.
  • Stay current with billing regulations, codes, and payer requirements.
  • Supervise billing staff or contractors, fostering accuracy and accountability.
  • Maintain and Administer Practice Management Tool Set-Up
  • Credentialing, Contracting and Authorization Management

  • Oversee and manage payer credentialing and re-credentialing processes to ensure providers are properly enrolled and active with all insurance networks.
  • Lead contracting with insurance carriers, ensuring favorable terms, updated fee schedules, and alignment with service delivery models.
  • Track and maintain up-to-date records of provider credentials and contract statuses.
  • Manage and monitor insurance authorizations for services, ensuring timely renewals and minimizing treatment disruptions.
  • Collaborate with clinical and intake teams to align authorization management with scheduling and service delivery.
  • Identify and resolve barriers to credentialing or authorization approvals.
  • Data Analysis and Reporting

  • Analyze financial and operational data to identify trends and forecast future outcomes.
  • Design automated financial models and reports to streamline internal processes.
  • Present findings and recommendations to the executive team.
  • Cross-Functional Collaboration

  • Partner with clinical, intake, and operations teams to align financial reporting with program performance.
  • Communicate clearly with insurance providers, families, and internal stakeholders to resolve billing questions.
  • Participate in strategic meetings, offering financial insights to inform organizational decisions.
  • Qualifications

  • Bachelor's degree in Finance, Accounting, Business, or related field; CPA or advanced certification preferred.
  • 3+ years of progressive experience in healthcare or behavioral health finance, including billing and reporting responsibilities.
  • Proficiency in Microsoft Excel (pivot tables, advanced formulas, automation).
  • Experience building and maintaining financial dashboards (Google Data Studio, Power BI, or similar tools preferred).
  • Strong analytical and communication skills, with a track record of improving systems and processes.
  • High attention to detail and the ability to manage multiple priorities effectively.
