Office Administrator | The Anchor

Join Infinity Labs® as an Office Administrator and help keep our office running smoothly. This role extends beyond traditional administrative duties and offers the opportunity to serve as the face of our office.

Dayton, OH

Schedule : Monday - Friday, 8 a.m. – 4 : 30 p.m.

What You’ll Do

As an Office Administrator you will be the linchpin that keeps our office running like a well‑oiled machine. Your responsibilities will include :

  • Front Desk Management : Welcome visitors, direct inquiries and greet office visitors, team members, and clients with professionalism and warmth.
  • Office Organization : Maintain a well‑organized office environment, ensure supplies and breakroom are stocked, equipment is functioning properly, and common areas remain tidy. Oversee office inventory and manage routine upkeep such as weekly refrigerator cleanouts.
  • Clerical Support : Perform a variety of administrative and clerical duties including answering and fielding phone calls, responding to emails or in‑person queries, preparing correspondence, coordinating mail and deliveries, and supporting scheduling, meeting logistics, and other administrative projects.
  • Office Communication : Serve as a liaison between employees and various departments, facilitating effective internal communication.
  • Facilities Coordination : Support facility operations by coordinating with building management, vendors, and service providers as needed (i.e., maintenance, deliveries, office setup).
  • Event Coordination : Assist in planning and organizing company events, meetings, and team‑building activities, including ordering food as needed.

Qualifications / What You’ll Bring

  • At least one year of proven experience in an administrative role; office management experience preferred.
  • Strong organizational skills and a keen eye for detail.
  • Exceptional written and verbal communication skills and the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office Suite or similar software and computer knowledge.
  • Coordinate to operate office equipment (computer, phone, printers, fax machine, etc.).
  • Capability to multitask and manage priorities effectively in a fast‑paced environment.
  • Positive and friendly demeanor essential for front desk responsibilities.
  • Comfortable handling confidential files or sensitive information and demonstrate poise, tact, and diplomacy.
  • Education / Credentials

  • High school diploma or equivalent required.
  • US Citizenship is required for consideration, as this job requires a US government security clearance.
  • Nice to have – Secret level clearance.
  • Acceptable – No current clearance but eligibility to obtain.
  • Physical Demands

  • Must be able to remain in a stationary position and work on a computer for prolonged periods.
  • Must be able to lift and carry or otherwise move up to 20 pounds occasionally.
  • Requires the ability to operate standard office equipment and keyboards.
