Administrative Assistant
Bethlehem Lutheran Church Hickory, NC
Part-time
Bethlehem Lutheran Church, a welcoming and faith-rooted congregation in Hickory, North Carolina, is seeking a passionate and skilled Administrative Assistant. The Administrative Assistant plays a vital role in supporting the mission and operations of the church by managing financial processes, maintaining accurate records, and facilitating effective communication across ministries. This position requires a detail-oriented, organized, and compassionate individual who thrives in a collaborative environment and is committed to serving the congregation and community.
Financial Administrator Responsibilities
- Verify deposits and enter contributions into Elvanto and QuickBooks
- Process payments by cutting checks for all invoices
- Reconcile credit card statements with receipts and issue payment
- Perform monthly bank reconciliations
- Generate financial reports for the Church Council, Finance Committee, and other groups as needed
- Process payroll using QuickBooks Payroll system
- File bi-annual sales tax reimbursement forms with the NC Department of Revenue
- Print and distribute annual giving statements
- Assist in the preparation of the annual church budget
- Produce year-end financial reports for review and archival
Administrative Responsibilities
Maintain and update member contact information in Elvanto and across all church communicationsAdd new members and update church records including birthdays and anniversariesManage and update the church calendar in ElvantoCoordinate facility reservations and respond to member requests for space usageCommunicate with other churches regarding member transfers, baptism records, and membership verificationHandle altar flower requests and place orders accordinglyOrder Sunday School supplies and ministry team materialsMaintain inventory and order office and cleaning suppliesLiaise with Levifi regarding copier lease and maintenanceAssemble and distribute weekly communications to the congregationPrepare and print weekly bulletins; send readings to musicians and readersPost updates and announcements on church social media platformsAssist members with copying and assembling Sunday School materialsRecord and distribute phone tree messagesCreate and distribute annual reportsAnswer phone calls and greet visitors, offering assistance as neededFile and organize church paperworkUpdate the church’s digital sign with current messages and announcementsRetrieve, sort, and distribute incoming mailCommunicate with local nonprofits such as CCM and Safe Harbor for outreach and collaboration(If applicable) Create digital slides and worship announcements using Canva for sanctuary displayOversee and enforce the use of the “Guiding Documents & Policies” (GDP) binderCollaborate closely with the pastor and other church staff in a team-oriented environmentQualifications
