Job description

Join Casa Esperanza, Inc., a dynamic bilingual / bicultural behavioral health treatment provider dedicated to empowering individuals and families to overcome addiction, trauma, mental illness, and other chronic medical conditions. We are seeking a dedicated Senior Executive Assistant to support our Administrative Offices and Executive Team under the guidance of the Chief of Staff. About the Role

The Senior Executive Assistant will play a critical role in logistical coordination and communication across various parties, including internal teams and external stakeholders. You will manage complex administrative and secretarial duties while maintaining confidentiality regarding sensitive information. The ideal candidate will possess strong interpersonal skills, a proactive mindset, and the ability to handle multiple responsibilities with adaptability and professionalism.

What You'll Do

  • Oversee the administrative offices, including welcoming visitors and managing phone communications.
  • Assist in managing the CEO's daily schedule, including organizing meetings and travel arrangements.
  • Maintain electronic and paper filing systems and ensure efficient document workflow.
  • Facilitate internal and external meetings by coordinating logistics and taking minutes.
  • Prepare documentation and correspondence, ensuring high standards of clarity and professionalism.
  • Support event planning initiatives, including key organizational events and retreats.
  • Handle mail and correspondence effectively, ensuring timely distribution.
  • Complete expense reports for the Chief of Staff and CEO.
  • Collaborate with the Executive Team on various projects as assigned.

Qualifications

  • Bachelor's degree or a minimum of 3 years in senior administrative roles.
  • Proficient in Microsoft Office Suite and virtual communication tools.
  • Strong ability to work both independently and collaboratively within a team.
  • Excellent prioritization skills and attention to detail.
  • Capacity to maintain confidentiality regarding sensitive information.
  • Exceptional customer service and communication skills.
  • A willingness to learn about the addiction recovery process.
  • Certification in CPR / First Aid / Narcan is a plus.
  • Physical Demands and Work Environment

    The position requires the ability to perform physical tasks such as moving throughout the office, lifting up to 20 pounds, and working primarily in an indoor environment with standard office conditions.

    Schedule

    This full-time, onsite role operates Monday through Friday, 9 AM to 5 PM.
