Position Summary
Vital Source Nutrition Inc. is seeking a highly organized, detail-oriented, and proactive Chief of Staff to provide executive-level support to our leadership team. This role combines executive assistant responsibilities, human resources administration, and financial operations (accounts payable and accounts receivable). The Chief of Staff will work closely with the CEO and CFO to ensure operational efficiency, strong organizational alignment, and compliance with company policies.
Responsibilities : Executive Support
- Serve as executive assistant to the CEO, managing schedules, travel, and correspondence.
- Prepare reports, presentations, and communications on behalf of executive leadership.
- Facilitate internal and external communications with professionalism and discretion.
Human Resources Administration
Oversee employee lifecycle activities including onboarding, offboarding, and recordkeeping.Manage benefits administration and payroll coordination.Support recruitment and hiring efforts across departments.Ensure compliance with federal, state, and local employment regulations.Financial Operations (AP / AR)
Process vendor invoices, expense reimbursements, and employee expense reports.Monitor accounts payable schedules to ensure timely and accurate disbursements.Generate and track customer invoices, monitor collections, and assist with month-end close.Collaborate with CFO to maintain financial reporting accuracy.Operational Leadership
Support cross-functional projects and process improvements.Act as a key liaison between the CEO, CFO, and internal teams.Handle sensitive matters with discretion and integrity.Qualifications :
Bachelor’s degree in Business Administration, Human Resources, Accounting, or related field.Minimum 2 years’ experience in executive administration, HR, or finance roles.Exceptional organizational skills and ability to manage multiple priorities.Strong communication and interpersonal skills.Must reside in Miami-Dade or Broward County, Florida .Compensation & Benefits :
