Responsibilities
Office Management : Oversee daily administrative tasks, ensuring the smooth operation of office activities.
Communication : Serve as the primary contact for incoming phone calls, emails, and in-person inquiries.
Scheduling : Manage calendars, appointments, and meetings for the team, ensuring optimal time management.
Document Handling : Maintain accurate records and manage digital filing systems, ensuring confidentiality and organization.
Inventory Management : Track office supplies and equipment, placing orders as needed to ensure availability.
Customer Service : Greet clients and visitors, providing a welcoming environment that reflects the positive culture of the Jayne Young Agency.
Collaboration : Work closely with other team members to support agency goals and enhance office efficiency.
Requirements
Education : High school diploma or equivalent required.
Experience : Previous office administration or secretarial experience is highly preferred.
Communication Skills : Excellent verbal and written communication skills. You MUST be comfortable with technology and operating a computer.
Organization : Strong organizational skills with the ability to multitask efficiently.
Proficiency : Solid knowledge of Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Interpersonal Skills : Approachable with a warm demeanor, capable of fostering a welcoming atmosphere.
Team Collaboration : Ability to work collaboratively in a team environment.
