Position Title : Switchboard Operator
Position Summary : Responsible for the answering and routing of all incoming calls to the office and for ensuring that all incoming calls are answered and sent to appropriate destinations in a timely fashion.
Required Qualifications : Must have understanding and experience in handling high volume of calls and routing to appropriate destination, preferably in a medical clinical setting; knowledge of medical terminology; an understanding of documentation requirements for medical records; attention to detail; knowledge of computers and strong communication skills with a wide variety of personalities.
Key Performance Areas :
1. Answer all calls coming into the office promptly, ascertain whether the call needs to be transferred to office staff, physicians, Nurses, or Office Manager and route calls or take messages as appropriate.
2. Locate and retrieve medical records in the EMR (electronic medical records) system by patient name in alpha order and by physician.
3. Coordinate requests for new patient appointments by obtaining the necessary information, such as name, date of birth, address, telephone, Social Security Number, referring physician, and diagnosis and completing the new patient forms.
4. Maintain and ensure the confidentiality of all patient and employee information at all times.
5. Keep work area and records in a neat and orderly manner.
6. Maintain all company equipment in a safe and working order.
