Role Description

The Accounting Specialist will support the daily and monthly financial activities of the organization, ensuring accurate and efficient posting of data, processing of payables, and collection of funds. This role is heavily focused on accounts payable functions, including vendor management, invoice processing, and reconciliation. This position reports to the Assistant Director of Finance and Director of Finance.

The various programs at Brasada requires that all team members communicate effectively and clearly. The relationship with our home owners, members and guests requires that they be communicated to with professionalism and courtesy. Working collaboratively with all Managers and Employees within the resort is necessary in order to fully perform this position accurately and efficiently.

To be successful in this position, you must be detail oriented and be comfortable with complex reports and processes. You thrive in a setting with firm and clear deadlines and manage your time flawlessly to ensure that all necessary processes between both departments are running smoothly.

General Responsibilities

  • Communicate with guests / club members in a warm and professional manner.
  • Process high-volume vendor invoices for multiple departments (including F&B, Housekeeping, Maintenance, and Golf Operations).
  • Review, match, and code invoices to appropriate general ledger accounts and cost centers.
  • Verify purchase orders and receiving documentation for accuracy and proper approvals.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain vendor files, W-9 documentation, and ensure compliance with company and tax policies.
  • Support month-end close by preparing AP accruals and reconciling related accounts.
  • Assist with expense reporting, petty cash, and credit card reconciliations.
  • Generate group invoices.
  • Assist in the daily Sales Journal / Cash Reconciliation process.
  • Assist in Year End reporting to cabin owners, vendors, corporate, and auditors.
  • Communicate professionally with vendors, department managers, and resort leadership to resolve payment issues and provide updates.
  • Collaborate with accounting team members to streamline processes and support audits as needed
  • Perform additional responsibilities and duties as assigned.

  • Excellent written and oral communication skills required.
  • Positive interpersonal skills required.
  • Must have organizational skills.
  • Must be fluent in verbal and written English.
  • Excellent computer and typing skills are required. Excel and Word proficiency required.
  • Ability to think analytically when reviewing financial information.
  • A two-year college degree with an emphasis in accounting or equivalent education and experience is preferred.
  • One year experience in a related accounting environment preferred.
  • Ability to lift and carry items up to 25 lbs without assistance.
