Position Summary

The Administrative Coordinator supports the smooth operation of Adult Day Services by managing daily administrative tasks, supervising office staff, coordinating schedules, and ensuring timely submission of payroll and documentation.

Essential Job Duties and Responsibilities

  • Supervise, train, and assign duties to administrative staff.
  • Prepare and manage office schedules, calendars, and supply orders.
  • Process payroll, maintain time and attendance records, and respond to related inquiries.
  • Serve as liaison to HR and Finance on hiring, billing, petty cash, and personnel matters.
  • Track and update training requirements; schedule mandatory staff certifications.
  • Maintain program documentation, including van logs, fire drills, and maintenance requests.
  • Participate in audits, collect data, and support special projects.
  • Compile data and produce routine reports to support program operations and planning.
  • Coordinate and attend meetings; maintain personnel files and general office functions.
  • Uphold agency policies, ensure confidentiality, and foster positive communication.

Qualifications

  • BA preferred or AA with 2+ years of administrative supervisory experience (5+ years can substitute for degree).
  • Strong computer skills (Word, Excel), organizational abilities, and communication skills.
  • Computer excellence on Word, Excel, Therap Experience
