We’re looking for a bilingual (English / Spanish) Office Manager to lead daily operations and keep our office running efficiently. The ideal candidate is highly organized, proactive, and comfortable handling administrative, financial, and scheduling responsibilities in a fast-paced environment.

Key Responsibilities

Administrative & Office Management

  • Oversee daily administrative tasks to ensure smooth office operations
  • Develop and enforce office policies and procedures
  • Identify and implement process improvements
  • Maintain office supplies and manage mail and deliveries
  • Organize and update filing systems (e.g., DMV, insurance, workers’ comp, vendors)
  • Manage vendor relationships and coordinate internal / external resources

Financial & Data Management

  • Enter time cards and purchase data
  • Prepare invoices, estimates, and sales records in QuickBooks Online
  • Track job costs and manage accounts receivable
  • Review timesheets and process payroll
  • Monitor office budget and ensure timely vendor payments
  • Scheduling & Coordination

  • Schedule appointments, meetings, and staff calendars
  • Support executive and staff scheduling
  • Maintain and organize calendars
  • Additional Duties

  • Provide administrative support, including research, reports, and meeting notes
  • Visit job sites for project-related tasks as needed
  • Qualifications

  • Bilingual in English and Spanish ( required )
  • Certificate or degree in Business Administration preferred (or equivalent experience)
  • 2–5 years in office administration or management
  • Strong organizational, time management, and multitasking skills
  • Excellent communication and interpersonal abilities
  • Detail-oriented with strong problem-solving skills
  • Proficient in Microsoft Office , Google Workspace , Excel , and QuickBooks Online ( required )
  • Experience with BuildTrend is a plus
  • Ability to handle confidential information with professionalism
  • Self-motivated, independent, and resourceful
