We’re looking for a bilingual (English / Spanish) Office Manager to lead daily operations and keep our office running efficiently. The ideal candidate is highly organized, proactive, and comfortable handling administrative, financial, and scheduling responsibilities in a fast-paced environment.
Key Responsibilities
Administrative & Office Management
- Oversee daily administrative tasks to ensure smooth office operations
- Develop and enforce office policies and procedures
- Identify and implement process improvements
- Maintain office supplies and manage mail and deliveries
- Organize and update filing systems (e.g., DMV, insurance, workers’ comp, vendors)
- Manage vendor relationships and coordinate internal / external resources
Financial & Data Management
Enter time cards and purchase dataPrepare invoices, estimates, and sales records in QuickBooks OnlineTrack job costs and manage accounts receivableReview timesheets and process payrollMonitor office budget and ensure timely vendor paymentsScheduling & Coordination
Schedule appointments, meetings, and staff calendarsSupport executive and staff schedulingMaintain and organize calendarsAdditional Duties
Provide administrative support, including research, reports, and meeting notesVisit job sites for project-related tasks as neededQualifications
Bilingual in English and Spanish ( required )Certificate or degree in Business Administration preferred (or equivalent experience)2–5 years in office administration or managementStrong organizational, time management, and multitasking skillsExcellent communication and interpersonal abilitiesDetail-oriented with strong problem-solving skillsProficient in Microsoft Office , Google Workspace , Excel , and QuickBooks Online ( required )Experience with BuildTrend is a plusAbility to handle confidential information with professionalismSelf-motivated, independent, and resourceful
