Job Purpose : Provides administrative and clerical support to the Transportation Department
Job Duties and Responsibilities :
- Provides administrative and clerical support to the Transportation Department by composing department reports, correspondence and interoffice memos according to instruction, answering incoming calls, relaying messages and inquiries to department personnel, scheduling and tracking offsite transportation needs, and scheduling and tracking departmental training in data base following established procedures. - 30%
- Provides the Payroll Department with an accurate accounting of staff's time and attendance by entering staff schedule information for each shift in the timekeeping database, printing out weekly schedules, entering schedule adjustments according to established procedures, auditing time off request and adjustment forms for proper completion and appropriate signatures, and entering requests and adjustments in the database. - 30%
- Monitors bussing activities by maintaining bus records, log books and records of passenger player ratings for each bus route, maintains and distributes bus driver incentive packages, tracks complaints, and provides the Guest Transportation Manager with ridership reports and costs associated with each route to determine efficiency. - 20%
- Maintains updated departmental policies and procedures by drafting internal procedures, submitting procedures for approval, editing final draft as directed, distributing finalized procedures to appropriate area, maintaining computerized file of procedure documents, and updating internal procedures as needed. - 15%
- Ensures consistent application of departmental purchasing procedures by receiving supply requests, generating requisitions, entering information into computer database, obtaining appropriate approvals, forwarding orders to the purchasing department, tracking received orders, generating weekly and monthly reports, and maintaining vendor activity files. - 5%
Job Specifications :
Education and Experience : Essential : High School Diploma or G.E.D. + 3 years office administration experienceDesirable : Associates Degree in Business Administration or related field + Maintenance Connection software experienceSkills and Knowledge :
