Part-Time Office Manager (In-Person)

Schedule: MondayFriday, 12:00 PM6:00 PM

Location: Orange, CA

About the Role

Were seeking a reliable, organized, and friendly Part-Time Office Manager to support day-to-day office operations. This role is ideal for someone who enjoys multi-tasking, communicating with clients and staff, and keeping an office running smoothly.

Key Responsibilities

Front Office & Communication

  • Answer and route incoming phone calls professionally
  • Greet visitors and support a positive front-desk experience
  • Respond to basic inquiries and relay messages to the appropriate team members
  • Assist with email correspondence and office communications

Scheduling & Coordination

  • Schedule appointments, meetings, and staff calendars
  • Confirm upcoming meetings and appointments (calls/text/email as needed)
  • Coordinate meeting logistics (room setup, materials, attendee reminders)
  • Help maintain organized schedules and avoid conflicts

Administrative & Office Support

  • Prepare documents and materials for meetings (printing, assembling packets, forms)
  • Maintain organized digital and physical filing systems
  • Track office supplies, place orders, and manage inventory
  • Support onboarding tasks such as preparing workspace/materials for new team members
  • Assist with basic data entry and recordkeeping

Office Operations

  • Ensure office spaces are tidy, stocked, and ready for daily operations
  • Support internal processes and help improve office workflows
  • Coordinate with vendors or building management when needed (repairs, deliveries, services)

Qualifications

  • High School Diploma
  • Bilingual (English & Spanish)
  • Must know Microsoft Word, PowerPoint, Excel
  • Prior experience in an office/admin/office manager role preferred
  • Strong organization and time-management skills
  • Professional phone etiquette and customer service mindset
  • Comfortable with common office software (Google Workspace or Microsoft Office)
  • Ability to handle confidential information with discretion
  • Dependable, punctual, and able to work independently
