Job Summary : the Accounting Controller will be responsible for managing the day-to-day accounting functions, ensuring accurate financial reporting, and maintaining compliance and company internal financial standards. Our company believes in each associate managing their own processes and being a part of the entire team that creates a successful outcome. This role requires that you keep all team members on track and accountable for their specific duties in respect to any accounting activity directly or indirectly. You will be very involved with the auditing processes and functions of accountants, implementing financial controls, and providing strategic insights to support business decisions. The Partners of the company will support you and assist to ensure you can execute. The ideal candidate is a detail-oriented leader with strong analytical skills and a deep understanding of accounting principles in a commercial environment.
Key Responsibilities
- Manage and ensure all weekly invoices are done expeditiously and accurately. Entire processing team will assist. It is important that you Audit the invoicing once a month and correct mistakes or get with assistance from team members to resolve any issues.
- Review QBO Systems Client & Vendor Database and keep up to date. Ensure they have complete contact information, bill to address, proper billing emails, and phone #s that will assist us to ensure accuracy of billing and collections
- While you are not responsible for direct collections, it’s critical to review Collections report once a month and provide insight that may help the team collect. Also fix any errors that could impede collections.
- Manage and assist team on all client contracts or bid documents required to get preapproval or final approvals.
- Learn and understand FaciliBuild HUB, the company’s proprietary software utilized to schedule, manage, report, and invoice draws / jobs from the NTAB team that will allow reports to be generated to perform final invoicing in QBO. The invoice report to be generated by you and then provided to bookkeeper to execute the invoices in QBO.
- Reconcile all Credit Cards and vehicle fleet statements monthly
- Review Work Timecards on a biweekly basis to help get ready for external & internal payroll team. Any discrepancies, review with company employee(s).
- Review and pay all expense reports for the company on a weekly basis. Assist in generating commissions to be paid by collecting information from our associates. Then audit and provide spreadsheets for owners to review & payout.
- Assist the Operations team with Financial information needed for the team to develop weekly and monthly KPI’s.
- Assist or keep up to date information / amounts any monthly payments (auto) that occur for any loans, vehicles, retirement processing, or allowances.
- Collaborate with cross-functional teams, such as operations and sales, to optimize financial processes and support business initiatives. This includes monthly meetings with Partners to discuss statements, results, and challenges that we can assist you with.
- Semi Audit of all clients and update all payment terms. If any clients terms change, update in FaciliBuild HUB.
Qualifications and Requirements
Bachelor’s degree in accounting, Finance, or a related field. A master’s degree is beneficial but not required. No CPA Certification / Licensing required.Minimum of 7-10 years of progressive accounting experience, with at least 3-5 years in a supervisory or controller role in a commercial setting.Strong knowledge of accounting principles, financial reporting, and regulatory compliance.Proficiency in accounting software specifically QuickBooks Online and advanced Excel skills.Excellent analytical, problem-solving, and organizational abilities.Proven leadership skills with experience with working with different team members and directing them in a manner to assist them to do their job better and benefit the company.Ability to handle confidential information with discretion.What We Offer
