Job Summary
The Accounts Payable Specialist at Powder Mountain plays a key role in ensuring accurate and timely processing of vendor invoices and employee reimbursements, maintaining vendor records, and supporting the financial operations of the resort. This role is responsible for ensuring all payments are processed in compliance with internal controls, accounting policies, and company procedures. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment with seasonal demands.
Key Responsibilities :
Invoice Processing & Payment
Review, code, and enter vendor invoices into the accounting system for timely and accurate paymentMatch invoices to purchase orders and receipts to ensure accuracy and completenessEnsure appropriate approval levels are met before processing paymentsSchedule and process check runs, ACH, and wire payments in accordance with payment termsVendor Management
Maintain and update vendor records, including W-9s and banking informationRespond to vendor inquiries in a timely and professional mannerReconcile vendor statements and resolve discrepancies promptlyExpense Management
Review and process employee expense reports for accuracy, proper documentation, and policy complianceCoordinate with team members to correct or clarify questionable expensesAccounting Support & Reconciliation
Assist in monthly close process by preparing AP-related journal entries and reconciliationsReconcile AP aging reports and assist with accruals as neededMaintain organized electronic and physical records for audits and internal reviewCompliance & Internal Controls
Ensure compliance with company policies, accounting standards, and regulatory requirementsIdentify and recommend process improvements for greater efficiency and controlCollaboration & Communication
Work closely with department managers to clarify coding, resolve invoice issues, and improve AP processesSupport seasonal needs, special projects, and year-end close activitiesQualifications
Required
Associate’s degree in Accounting, Finance, or related field (or equivalent experience)2+ years of experience in accounts payable or general accountingStrong understanding of basic accounting principles and AP best practicesHigh attention to detail with a commitment to accuracy and organizationProficiency in Microsoft Excel and accounting software systemsExcellent communication and interpersonal skillsAbility to handle confidential information with integrity and discretionStrong time management skills with the ability to meet deadlines in a dynamic, seasonal environmentPreferred
Experience with Sage Intacct, Bill.com, or similar accounting platformsExperience in the resort, hospitality, or outdoor recreation industryFamiliarity with 1099 processing and sales / use tax concepts
