Office Specialist 2
The Oregon Youth Authority (OYA) is seeking a detail-oriented and people-focused Office Specialist 2 to join our team as part of the Office of Intercultural Relations (OIIR). This position provides essential administrative support to OIIR and the Director's Office that helps our agency carry out its mission : to protect the public and reduce crime by holding youth accountable while providing opportunities for growth and reformation in a safe environment.
The Office Specialist II provides comprehensive administrative and bilingual support to the Office of Inclusion and Intercultural Relations (OIIR) Director and team. This position coordinates meetings and cultural events, manages calendars and travel, supports data collection and reporting, assists with staff onboarding and interpretation services, and ensures efficient office operations in a diverse and inclusive environment.
Key Responsibilities :
- Coordinate and support OIIR and advisory committee meetings; prepare and distribute meeting minutes.
- Assist with cultural celebrations, community events, and tattoo removal services.
- Maintain the OIIR Director's calendar, travel, and expense documentation.
- Collect, compile, and report data related to OIIR programs and services.
- Prepare correspondence, reports, and presentation materials.
- Support onboarding, scheduling, and training of new staff.
- Coordinate interpretation and translation services for youth and families.
- Maintain office files, contracts, and purchasing records in state systems.
- Manage supply orders, purchase orders, and VISA expenditures.
- Provide bilingual communication and customer service to internal and external partners.
- Serve as part of the office support rotation for reception coverage.
- Cross-train to assist other Director's Office teams as needed.
- Perform other duties as assigned by the OIIR Director.
Additional Information :
A 5% bilingual differential will be added to the final salary for those fluent in Speaking English and Spanish. Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR An associate degree in any field; OR An equivalent combination of education and experience.Special Qualification :
This position requires the ability to speak Spanish and English fluently.
