We are seeking a highly organized and detail-oriented Legal Administrative Assistant to support a busy litigation team. The ideal candidate is proactive, accurate, and thrives in a fast-paced legal environment. This role requires strong document preparation skills, professional communication, and the ability to manage multiple deadlines.
Responsibilities
- Open new case files, prepare labels, and organize file contents
- Maintain and manage litigation files to ensure accuracy and accessibility
- Prepare, edit, and proofread correspondence, pleadings, and discovery from attorney dictation
- Draft enclosure letters and routine communications to court personnel, counsel, and clients
- File documents with appropriate courts or commissions and distribute filed copies
- Handle incoming calls in the attorney's absence; process incoming / outgoing mail
- Schedule mediations, depositions, hearings, and client meetings
- Prepare materials for hearings, depositions, and discovery production
- Submit invoices to billing; request checks for filing fees and court expenses
- Order court reporters and reserve conference rooms
- Prepare closed files for offsite storage and coordinate file closure
- Perform general administrative tasks including scanning, copying, and document management
- Support attorneys with various administrative tasks as needed
Qualifications
3+ years of legal administrative experience (litigation required)Proficient in Microsoft Word & Office SuiteTyping speed : 70 WPM minimumExperience supporting multiple attorneys simultaneouslyFamiliarity with NetDocuments or similar DMS (preferred)Excellent verbal / written communication and proofreading skillsStrong attention to detail; able to manage conflicting prioritiesAbility to maintain confidentiality at all timesProactive, organized, and able to work independently or as part of a teamSchedule & Compensation
